Provide comprehensive support to property managers, including coordinating tasks and managing schedules. Oversee and document change orders for various projects, ensuring accuracy and compliance. Process and manage supply orders for office buildings to maintain operational efficiency. Attend meetings and conference calls as needed, taking detailed and accurate minutes. Draft and send written correspondence to office buildings, ensuring clear and effective communication. Monitor outstanding work orders for office buildings and prepare detailed status updates. Organize and maintain the company's electronic filing system for easy access and retrieval. Communicate effectively with tenants to deliver exceptional customer service and address inquiries. Perform general office duties, including answering inbound calls and administrative tasks. Create and update records and spreadsheets, ensuring all data is accurate and up-to-date. Requirements
Proven experience in administrative assistance within a detail-oriented environment. Proficiency in Microsoft Outlook, Word, and Excel is essential. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent written and verbal communication skills. Ability to maintain attention to detail and accuracy in all tasks. Familiarity with data entry, receptionist duties, and general office operations. Customer service experience, particularly in tenant or client-facing roles. Capacity to work independently and collaboratively in a team-oriented environment.
