The

Lead Benefits & Leave Specialist

serves as a subject matter expert on all employee leave programs, medical benefits, and accommodations under the ADA. This role ensures compliance with federal, state, and local laws related to leave administration and works closely with employees, HR Business Partners, managers, and vendors to facilitate and track requests. Additionally, this position supports the Benefits Team by managing and resolving incoming tickets through the HR Service Desk Portal, with a focus on delivering timely, accurate, and compassionate service. What You'll Do: Leave Administration Administer and coordinate all types of employee leaves including but not limited to:

FMLA (intermittent and continuous)

Short-Term Disability (STD) and Long-Term Disability (LTD)

State-mandated leaves (e.g., NY PFL, MA PFML, WA PFML)

Military leave (USERRA)

Personal leave and other company-sponsored leaves

Review, track, and follow up on leave certifications and recertifications.

Ensure proper leave documentation is collected, stored, and maintained in accordance with HIPAA and company policy.

Partner with Payroll to ensure accurate pay coding and benefit deductions during leave.

Provide clear communication to employees and managers regarding leave rights, obligations, timelines, and return-to-work expectations.

ADA Accommodation Support Facilitate the interactive process under the ADA, including receipt and review of medical documentation, scheduling of interactive discussions, and coordination of approved accommodations with divisional HRBP Team.

Maintain detailed records of accommodation requests, outcomes, and follow-up actions.

Partner with Legal or Employee Relations as needed for complex cases.

Benefits Administration Support administration of group health plans including medical, dental, vision, and other ancillary benefits.

Assist with benefits enrollment, qualifying life events, and dependent eligibility verification.

Resolve benefit billing issues including retroactive adjustments, overpayments, and reconciliation of vendor invoices.

Educate employees on benefit offerings, cost implications, and coverage during leaves of absence including conducting weekly Benefits Orientation for new hires.

Ticketing System & Employee Support Monitor and respond to incoming employee inquiries via the Benefits Team ticketing portal and Benefits inbox.

Triage requests, assign tasks to team members as needed, and ensure timely resolution of open tickets.

Track recurring issues and recommend process improvements or communications to address employee needs.

Compliance & Documentation Ensure compliance with all applicable federal and state regulations, including FMLA, ADA, HIPAA, and ERISA.

Maintain up-to-date knowledge of regulatory changes and recommend updates to policies and procedures as needed.

Generate reports on leave trends, usage, and compliance for HR leadership.

What You'll Bring: 5+ years of progressive experience in leave administration, benefits, or HR operations.

In-depth knowledge of FMLA, ADA, and state-specific leave laws.

Experience handling ADA accommodations and conducting interactive processes.

Strong understanding of group medical benefits, eligibility, and billing practices.

High level of discretion and ability to handle confidential information with sensitivity.

Excellent written and verbal communication skills.

Strong organizational and time management skills with ability to handle multiple priorities.

Experience working with case management systems or ticketing tools (e.g., Zendesk, ServiceNow, etc.)

Experience in a shared services or centralized HR model.

Experience using HRIS and benefits platforms (e.g. ADP Workforce Now).

Certification such as SHRM-CP, PHR, or a related credential.
