Top Secret Early Career Administrative Assistant
Today Location: Washington, DC (On-Site/Office) Salary Range: $53,000 - $60,000 annually depending on qualifications. Position Summary: The Administrative Assistant provides day-to-day operational and administrative support to senior leadership and staff within the Office of the DoD Chief Information Officer (CIO), DCIO for Information Enterprise (IE), and Special Access Program Information Technology (SAP IT). This role requires excellent organizational, communication, and multitasking skills, along with the ability to work in a classified and fast-paced environment. The individual in this role will manage calendars, coordinate meetings, prepare documents and briefing materials, and maintain SharePoint tools and documentation repositories. This position requires five days per week in-office. Key Responsibilities: Calendar and Meeting Management Manage and coordinate calendars for senior leadership. Schedule meetings, teleconferences (VTC), and classified sessions. Arrange conference rooms and ensure availability of meeting materials and equipment. Escort uncleared personnel as required. Administrative Operations Prepare read-ahead packets, briefing books, agendas, and meeting summaries. Provide administrative support such as ordering supplies, filing, and phone coverage. Maintain and update organizational SharePoint sites and other collaborative platforms. Documentation and Coordination Draft and edit memos, reports, and briefing materials. Assist in preparing and submitting status reports and ad hoc task deliverables. Track meeting action items and follow-ups to ensure timely resolution. Office Support Maintain contact rosters and invitation lists. Monitor access to SAPF and SCIF facilities. Provide support for front office and programmatic tasks as assigned. Required Skills and Qualifications: U.S. citizenship and an active Top Secret clearance with SCI eligibility. At least 3 years of administrative or executive support experience, preferably in a DoD or government setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with SharePoint. Strong verbal and written communication skills. Ability to manage multiple priorities and deadlines under limited supervision. Detail-oriented, with excellent organizational and interpersonal skills. Comfortable working in a classified environment and adhering to strict security protocols. Desired Skills and Qualifications: Prior experience supporting a DoD or Intelligence Community office. Experience handling controlled unclassified information (CUI) or classified documentation. Familiarity with SAP IT programs or DoD CIO operations.
