Position: Administrative Assistant II Location: Arlington, VA. (Onsite) Position Type: Full-Time Clearance Required: Secret or higher (TS/SCI preferred due to SCIF/SAPF access)
Job Description:
The Administrative Assistant II provides high-level administrative, operational, and organizational support to the DoD CIO SAP-IT Program Office. This role supports front office functions and senior leadership while managing sensitive information, scheduling, communications, and logistics. The individual must possess exceptional professionalism, attention to detail, and the ability to work independently in a fast-paced, security-sensitive environment.
Key Responsibilities:
Administrative and Calendar Support
Schedule and manage daily calendar operations for senior leaders and staff. Organize meetings, VTCs, and All-Hands events; coordinate with technical teams (e.g., VTC/NOC). Maintain contact rosters, prepare read-ahead packages, briefing books, agendas, and other materials. Escort uncleared visitors and manage access to SCIF and SAPF facilities.
Office and Logistical Support
Answer phones and provide front office coverage. Monitor and resolve issues with office supplies and equipment (e.g., printers, copiers). Coordinate repairs and troubleshooting through appropriate channels.
Travel Support
Arrange domestic and international travel using DTS. Assist with creating travel itineraries, verifying passports, and preparing post-travel vouchers and documentation. Arrange official transportation and track local expenses for reimbursement.
Reporting and Documentation
Develop and update reports on action items, personnel movements, phone rosters, and organizational charts. Create and maintain leadership biographies and briefings. Track and report status updates in absence of leadership.
Data & Information Management
Utilize Microsoft Office Suite and SharePoint to create dashboards, reports, and spreadsheets. Automate data integration across multiple sources for leadership consumption. Maintain and update SharePoint sites, ensuring accurate and current content. Strategic Communications (Support Role) Support communications staff by preparing outlines, talking points, and reviewing brief materials. Assist in drafting or editing communications products for leadership as needed.
Required Qualifications:
35 years of experience in administrative or executive support roles. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and SharePoint. Experience supporting senior government or military leadership. Ability to handle sensitive and classified information. Exceptional written and verbal communication skills. Strong organizational and time-management skills.
Preferred Qualifications:
Prior DoD, SAP, or intelligence community administrative support experience. Knowledge of SCIF/SAPF access protocols. Familiarity with Defense Travel System (DTS). Experience in protocol support and official event planning.
