Project Coordinator

The Project Coordinator will independently manage multiple administrative and management tasks, in order to provide proficient and high-level support to Nobel Laureate Professor Michael Kremer, of the Kenneth C Griffin Department of Economics. The Project Coordinator, working closely with the Senior Executive Assistant, manages a variety of complex and routine administrative tasks, complex travel arrangements, coordinates high-priority meetings and special events, and ensures seamless communication and operations. This position requires exceptional professionalism, proactivity, discretion, and organizational skills, delivering premium service to the Faculty and other high-profile stakeholders. This position is a hybrid role based in Washington D.C. Responsibilities include managing email communications in Faculty's inbox and responding or coordinating responses with relevant team members. Triages and resolves routine and complex inquiries. Organizes speaking and media requests for domestic and international events, including for high-level events with policy makers, government officials, and other partners. Maintains Faculty's website, course sites and special websites for specific events or research. Handles highly confidential and sensitive materials and situations. Manages and coordinates events, including logistics research and planning. Supports the creation and preparation of presentations, handles outreach efforts, and produces detailed post-event reports. Proactively manages the scheduling of the Faculty's calendar, including resolution of schedule conflicts, schedule prioritization, and meeting logistics. Supports new and ongoing research projects by proofreading, fact-checking, and editing papers and reports, under the supervision of the Faculty. Supports Faculty's job market candidates in the job market process. Stays informed of activities relating to University programs and initiatives, apprising the faculty of issues when deemed necessary. Supports information flow from the Faculty's office to University. Uses appropriate resources and critical-thinking skills to follow issues through to resolution. Prepares institutional documents, such as faculty reports and conflict of interest statements, for Faculty's submission. Prepares and coordinates letters of recommendation for graduate students. Supports creation of lecture materials and schedule Zoom calls for graduate classes taught by the Faculty with help from teaching assistants. Assists in managing the transcription of voice files recorded by the Faculty to draft and edit emails and documents. This includes both transcription and managing a small team of student transcribers. Manages Faculty member's individual finances including soliciting and processing travel reimbursements, honoraria and other internal and external receivables, to ensure timely dispersal of obligated payments using GEMS. Maintains inventory of Faculty supplies and equipment. Upholds confidentiality and exercises discretion in handling sensitive matters. Coordinates complex domestic and multi-country international travel arrangements. Procures necessary travel documents, including visas, and ensures the Faculty has necessary clearance and documentation for travel. Creates and maintains master itineraries. Assists with researching funding opportunities, preparing grant proposals, and drafting and/or editing other written materials with moderate to high level guidance. May assist with other administrative projects as needed and acquire higher level guidance and skills. Performs other related work as needed. Minimum qualifications include a college or university degree in a related field and knowledge and skills developed through less than 2 years of work experience in a related job discipline. Preferred qualifications include demonstrated experience in project management, background providing high level administrative support, proficiency in Google Suite, Microsoft Suite, Slack, Adobe and Asana, knowledge of University financial systems, and working knowledge as a research assistant and/or supporting research projects. Working conditions include in-office work, with some work from home opportunities dependent on the Faculty's schedule. This position is a hybrid role based in Washington D.C.
