Administrative Assistant
Under direct supervision, performs a variety of general administrative tasks and provides clerical assistance to an assigned office/department. Essential job functions include: Providing administrative support to ensure efficient operation of the Laramie County Public Works (LCPW) office. Maintaining a high level of confidentiality and security in all aspects of job duties. Assisting the Executive Assistant, as needed. Acting as the initial representative for phone calls and in-person visitors to LCPW. Providing customer service to internal and external clients. Providing effective communication to all levels of the organization. Providing polite and professional customer service assistance to internal and external parties through verbal and written communication (via phone calls, email, and/or in person interactions). Carrying out administrative duties such as filing (digital and paper), typing, data entry, copying, binding, scanning, etc. Processing and performing data input in relation to personnel information and the asset management system(s), as required. Performing accounting and financial record keeping activities including daily/monthly deposits, creating invoices and preparing bills for payment. Maintaining office equipment and supply inventories, troubleshooting office equipment problems, and coordinating repairs with support, as needed, from the executive assistant. Maintaining and updating departmental forms. Taking, preparing, and maintaining meeting minutes as required. Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Holding up to date Notary Commission Certificate, performing notary tasks as required. Performing other duties as assigned or required. Qualifications: High School Diploma or equivalent; two (2) years of office clerical support experience; or equivalent combination of education, training and experience. Depending on area of assignment, additional licenses, certification may be required. Knowledge and Skills: Knowledge of administrative/clerical practices and processes. Knowledge and skill of working in standard office software applications and database management, including and not limited to Microsoft Office Suite Knowledge and skill with marketing tools, social media platforms (such as Facebook), and content management systems (such as Canva). Knowledge of standard office equipment. Knowledge of customer service standards and protocol. Knowledge of record keeping and basic accounting processes. Skill in coordinating day to day administrative activities for area in which assigned. Skill in effective communication with all levels of individuals. Skill in performing general administrative support functions. Skill in providing customer service assistance in person and by telephone/email. Skill in effectively interacting with the general public and other relevant parties. Skill in preparing and maintaining correspondence, reports, records, documentation and files.
