Role of the Position The Associate Registrar for Client Services provides senior leadership in the Office of the Registrar, overseeing the client-facing areas of External Relations/Student Records, Transfer, and Graduation. This role is responsible for ensuring the efficient, effective, and courteous delivery of services to students and other stakeholders throughout the student lifecycle, from enrollment to graduation. The Associate Registrar will manage and mentor a team, ensuring high standards of professionalism, empathetic communication, and timely service delivery. Key responsibilities include leading critical areas such as transfer processing, graduation services, and student records management. This individual will also serve as a top-level escalation point for service-related issues and provide advice to the University Registrar on matters impacting service quality. Additionally, the Associate Registrar of Client Services will oversee staff development, support enrollment-related projects, and contribute to university-wide initiatives like commencement ceremonies. As part of the office leadership team, the Associate Registrar of Client Services will collaborate with other senior staff members to enhance systems, support operational improvements, and align office functions with the broader mission of the Registrar's Office and the University. This role requires a strategic leader who can balance operational oversight, staff management, and a commitment to providing excellent service to students and the broader university community. All positions in Academic Affairs contribute to our core mission: to increase enrollment and promote equitable student success. This position shall collaborate with the University Registrar's annual goals that align with Top Tier initiatives and SVPAA mission and identify and track core metrics to assess success. Like all AA leaders, this position plays a crucial role in enrollment growth, removing barriers to student success, ensuring inclusive and equitable access to resources, working to eliminate the achievement gap, and providing outstanding services and support to students across the lifecycle. By addressing systemic obstacles and implementing strategic services, programs, and support, this position will meaningfully contribute to the institution's commitment to expand access, grow enrollment, and promote equitable student success. Administrative faculty positions, especially those in leadership roles, require some evening and/or weekend work and occasional travel. Minimum Qualifications This position requires a Bachelor's degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and at least 3-5 years of professional experience in higher education, specifically in a Registrar's Office or in Enrollment Management or Academic Affairs. This experience must include at least 1-3 years of supervisory and managerial experience. Credentials must be obtained prior to the start date. Knowledge Comprehensive understanding of student records, transfer processes, graduation procedures, and enrollment management in a university setting. Familiarity with FERPA (Family Educational Rights and Privacy Act) and other federal, state, and institutional policies governing student records and privacy. Knowledge of effective leadership principles, including team management, staff development, conflict resolution, and performance management. In-depth knowledge of student enrollment processes, including block enrollment, registration, and coordination with other university departments. Skills Strong leadership skills with the ability to inspire, motivate, and manage staff. Effective in providing direction, mentoring, and professional development to subordinate managers and teams. Exceptional interpersonal and communication skills with the ability to provide empathetic, clear, and timely responses to student and stakeholder inquiries. Ability to manage and resolve escalated service issues. Skilled in managing complex projects, including cross-functional collaborations, and ensuring timely and efficient completion of tasks and goals. Ability to analyze service issues, identify root causes, and implement strategic solutions to improve processes and service delivery. Strong collaboration skills, with the ability to work effectively with cross-departmental teams, faculty, and senior leadership. Ability to adapt to changing priorities and manage multiple responsibilities in a dynamic and fast-paced higher education environment. Abilities Ability to make informed decisions, often under pressure, with attention to detail, student needs, and institutional priorities. Ability to mediate disputes and resolve conflicts effectively, balancing the needs of students, staff, and university policies. Ability to contribute to strategic initiatives aimed at improving service delivery, enrollment processes, and student experiences within the Registrar's office. Ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a high-pressure environment. Ability to support the professional growth of staff through ongoing coaching, training, and constructive feedback. Preferred Qualifications Previous experience as an Assistant or Associate Registrar. 5-7 years of professional experience, and the experience must include at least 3-5 years of supervisory and managerial experience. Familiarity with student information systems (SIS), customer relationship management (CRM) and enrollment platforms, and data management tools used in higher education settings. Understanding of systems integration and the impact on service delivery.
