Position Summary

The Accounts Receivable Specialist is responsible for managing invoicing and collections for construction and non-construction projects. This role ensures timely and accurate billing, monitors aging accounts, follows up on outstanding balances, and collaborates with project managers, subcontractors, and clients to resolve billing issues. Experience in the construction industry and knowledge of AIA billing, lien waivers, retainage, job costing, and intercompany billing are preferred.

Key Responsibilities

  • Prepare and process customer invoices, including AIA progress billings, T&M invoices, and change orders.
  • Perform and reconcile monthly intercompany billings.
  • Track contract values, billing schedules, retainage, and payments.
  • Monitor accounts receivable reports and follow up with clients for payments.
  • Coordinate with project managers to ensure billing accuracy and resolve disputes.
  • Manage lien releases, notices, and compliance documentation.
  • Record and apply incoming payments accurately.
  • Reconcile AR subledger to general ledger and assist with month-end close.
  • Maintain customer records and contract documentation.
  • Assist with job cost tracking and reporting.
  • Support audits and reporting as needed.

Qualifications

  • 24 years of AR experience, preferably in construction.
  • Knowledge of construction billing formats (e.g., AIA G702/G703) and contract billing terms.
  • Experience with intercompany billing and reconciliation.
  • Understanding of lien laws, retainage, and compliance documentation.
  • Experience with accounting software (e.g., Viewpoint, Sage 300 CRE, QuickBooks).
  • Proficiency in Microsoft Excel and Office.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills.
  • Associates or Bachelors degree in Accounting, Finance, or related field preferred.

Preferred Skills

  • Knowledge of job cost accounting and project financial reporting.
  • Experience in a multi-entity environment.
  • Familiarity with union labor reporting and prevailing wage projects.
