Job Title: Office Services Clerk
As a member of the office support team, the Office Services Clerk provides high quality office services related support. Essential Functions:
- Provide mailroom services, including sorting, distributing, collecting, and metering of mail and parcels on an accurate and timely basis.
- Provide reprographic services, including copying/printing, faxing, and scanning in accordance with verbal and written instructions and Firm policies and procedures.
- Responsible for the organization and upkeep of copy rooms. Stock general supplies; deliver paper; provide daily maintenance of the copier area.
- On a proactive basis, responsible for appropriate set-up and cleaning of conference rooms. Inspect and ensure that all rooms are stocked with appropriate supplies and continuously ready for use. Assist with the delivery and set-up of catering needs for meetings.
- Organize and distribute kitchen supplies. Maintain appropriate inventory levels of all related supplies.
- Maintain organization and cleanliness of shared office spaces, such as copy rooms, file rooms and kitchen areas. Perform incidental cleaning, dusting, and other related tasks.
- Work with the Office Administrator to provide on-site assistance to the Information Services team; assist with computer equipment set-up; install video and audio-conferencing equipment.
- Provide front desk back-up coverage, including facilitating incoming calls, as well as greeting, assisting and providing general information to visitors.
- Adhere to strict confidentiality, timeliness, and accuracy of all related work.
Additional Functions:
- Serve as a back up to records function; assemble files and records for processing; may handle file retrieval requests. Maintain and secure records in accordance with established Firm policies and procedures.
- Assist with general clerical support, as requested.

Qualifications (Experience, Knowledge, Skills and Abilities):
- High School diploma or equivalent required.
- Prior experience in an Office support position (1- 3 years; law firm experience preferred)
- Ability to lift up to 50 lbs of office-related equipment and supplies.
- Ability to perform tasks in a timely manner with a high degree of accuracy and attention to detail. Ability to prioritize workload.
- Strong customer service skills and ability to maintain positive working relationships with clients, attorneys and support staff.
- Adheres to strict confidentiality, timeliness and accuracy of all related work.
- General knowledge of Microsoft Outlook email and the internet required.
- Knowledge and experience running office equipment (copiers, scanners, fax machine).
- Understanding of US Postal Service and express mailing (FedEx UPS, etc.).
- General knowledge of email and internet.
Work Environment & Physical Demands
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Requirements Medium Work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects 20 to 50 pounds frequently, and/or greater than negligible up to 10 pounds.
Visual Acuity Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
Compensation & Benefits The salary range for this position applies to the State of New Jersey. The salary range reflects a variety of factors that are considered in making compensation decisions, including but not limited to experience, education, licensure and/or certifications, geographic location, market demands and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the range for a position. A reasonable estimate of the current range for this position is $50,500 to $60,000.
