Position Summary

The

Client Relations Coordinator

serves as the first point of contact for high-net-worth clients and prospects, delivering an exceptional experience across in-person, phone, and digital interactions. The ideal candidate is professional, warm, and detail-oriented, with a strong focus on client service and organizational efficiency.

Key Responsibilities Greet and engage clients and prospects with professionalism and enthusiasm. Ensure clients feel welcomed, informed, and comfortable throughout all touchpoints. Coordinate onboarding for new clients, including documentation and welcome materials. Support the Financial Advisors and Client Service team by preparing for client meetings. Manage and optimize calendars, ensuring scheduling efficiency. Respond to client inquiries or route them to the appropriate team member. Maintain a clean, organized, and professional reception and meeting space. Track client interactions and appointments in the CRM system. Handle confidential client information with discretion. Ensure adherence to company policies and regulatory standards.

Sales, Events & Appointment Setting: Coordinate and execute client-facing workshops and events. Manage basic digital marketing for seminars. Confirm attendance and set up for events. Facilitate the smooth execution of workshops and seminars. Follow up post-event to schedule advisor appointments. Track and report metrics related to leads and events. Spend approximately 60% of the day on the phone building relationships with new and existing clients.

Requirements

Must-Have Qualifications

Industry Experience & Skills

•1-3 years of experience in financial services, wealth management, or a related industry (preferred)

•Ability to multitask and prioritize effectively in a fast-paced, client-centric environment

•Excellent verbal and written communication skills

•Exceptional attention to detail, with strong organizational and time management abilities

Background and Education:

•Associate's or Bachelor's degree in Business, Finance, or a related field preferred

•Proven sales experience with a consistent track record of meeting or exceeding goals

•Strong relationship management and consultative selling skills

Technology Expertise:

•Proficiency in administrative tasks such as scheduling, document preparation, and data entry

•Experience using CRM systems and business software, including Microsoft Office Suite (Word, Excel, Outlook)

Physical & Work Environment Requirements

•Ability to work for extended periods at a desk using a computer.

•Ability to lift up to 10 pounds if/when necessary.

•Routine use of telephone and email.

•Office-based role with potential travel to conferences, events, and satellite offices as needed.
