Summary

The Benefits Specialist (Especialista en Beneficios) plays a vital role in delivering on that commitment by ensuring associates receive accurate information, seamless service, and the resources they need to make the most of their benefits. This role oversees the accurate and timely administration of employee benefit programs across all properties, including medical, dental, vision, life, voluntary plans, state disability, and the 401(k) retirement plan. Reporting to the Benefits Manager and working closely with the Director of HR and Benefits, the Benefits Specialist supports the full cycle of benefits processes, including billing and reconciliation, employee communications, enrollment activities, leave of absence coordination, and compliance tracking. Success in this role requires a detail-oriented professional who enjoys helping and supporting associates, communicates effectively with team members at all levels of the organization, and thrives in a fast-paced, service-focused environment.

ESSENTIAL DUTIES

  • Administers day-to-day employee benefits programs, including health, dental, vision, life insurance, disability, retirement plans, wellness programs, and other company-sponsored benefits.
  • Manages arrears related to benefit premiums by running regular reports, following up with associates on outstanding payments, arranging collection of premiums as needed, and updating HRIS records accordingly.
  • Reviews and reconciles benefit plan invoices against HRIS data, resolves discrepancies with carriers, and processes invoices for approval and payment in a timely manner, including coordinating COBRA notifications and billing with the third-party vendor.
  • Prepares and distributes clear, timely benefit communications (e.g., posters, brochures, written materials, intranet postings, and bulletin boards) to ensure employees understand benefit programs.
  • Assists the Benefits Manager with coordinating annual open enrollment meetings with insurance provider representatives, including arranging meeting logistics and materials. Ensures that eligible employees are notified of enrollment periods and that their online benefit elections are completed and processed accurately.
  • Conducts the benefits portion of new hire orientations (in English and Spanish as applicable).
  • Responds to associate benefit inquiries by providing accurate information, guidance, and support; escalates complex questions to the Benefits Manager.
  • Maintains current knowledge of federal and state benefits regulations to ensure compliance.
  • Ensures that associates benefit-related qualifying events and status changes (new hires, terminations, and life events) are managed effectively, so that employees are enrolled, decline coverage, or make changes accurately and within required timeframes. This includes using the HRIS to track and process events, running reports, auditing data, and following up as needed to maintain compliance with ACA requirements and company standards.
  • Ensures the HRIS is fully and accurately updated each month to meet ACA requirements, support the ACA reporting portal, and ensure timely, accurate offers of coverage.
  • Communicates with vendors to resolve discrepancies and provide documentation.
  • Processes 401(k) loans, distributions, and updates to employee records as required.
  • Assists with leave of absence administration in collaboration with the Benefits Manager and others, including providing forms, communicating deadlines, ensuring premium payment arrangements, and updating HR systems with leave details as directed.
  • Responds to state agency notifications on unemployment and disability claims.
  • Issues annual summaries of benefits and other required compliance documents to associates.
  • Maintains accurate and organized benefits records, including benefit files, leave of absence files, and a chronological log of benefit-related actions.
  • Prepares and distributes the monthly Wellness Email and visual content for employee information screens covering wellness topics and phrases, safety topics and phrases, and upcoming health and welfare information and events.
  • Coordinates with medical and wellness providers to ensure their program content and resources are seamlessly integrated into company communications and made easily accessible to associates, supporting participation in wellness initiatives and incentives.
  • Assists with the planning, calendaring, and execution of details for the companys annual health and wellness fairs.
  • Supports the WeCare wellness program by tracking participation and points, updating associates eligibility records for benefit incentives, organizing community service events, managing prizes and recognition, and ensuring seamless communication to encourage employee engagement.
  • Translates communications between English and Spanish as needed.
  • Participates in and promotes safety, wellness, and benefits programs.
  • Provides support during internal and external benefits audits by preparing records and reports
  • Performs additional duties and responsibilities as directed by the leadership team.

QUALIFICATIONS

  • Associates degree or equivalent required; bachelors degree and HR/Benefits certification preferred.
  • At least 2 3 years of relevant experience and/or training.
  • A combination of experience, education, and/or training may be substituted for either requirement.
  • Availability to work on weekends and holidays is required.
  • Experience using HRIS, benefits administration software, and online vendor portals accurately and efficiently.
  • Proficient in Microsoft Office Suite, with strong emphasis on Excel.
  • Bilingual required (English/Spanish).
  • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
  • The following position will be filled in accordance with the process set forth in California Labor Code Section 2810.8 and San Diego Municipal Code 311.0101 et. seq.
