Summary The Benefits Specialist (“Especialista en Beneficios”) ensures associates receive accurate information, seamless service, and resources to maximize their benefits. This role manages employee benefit programs, including medical, dental, vision, life, voluntary plans, disability, and 401(k). Reporting to the Benefits Manager and working with the Director of HR, the Benefits Specialist handles billing, employee communications, enrollment, leave coordination, and compliance tracking. Success requires attention to detail, effective communication, and ability to thrive in a fast-paced environment. Manages benefit premium arrears, follows up with associates, and updates HRIS records. Reconciles benefit invoices, resolves discrepancies, and processes payments, including COBRA billing. Prepares and shares benefit communications via posters, brochures, intranet, and bulletin boards. Assists with annual open enrollment meetings, ensuring timely employee notifications and accurate online elections. Conducts new hire benefits orientations in English and Spanish. Responds to benefit inquiries, providing guidance and escalating complex issues. Maintains knowledge of federal and state benefits regulations for compliance. Manages benefit-related qualifying events and status changes using HRIS, ensuring timely enrollment and compliance with ACA requirements. Ensures HRIS data accuracy for ACA reporting and coverage offers. Communicates with vendors to resolve discrepancies and provides documentation. Processes 401(k) loans, distributions, and updates employee records. Supports leave of absence administration, including forms, deadlines, and HR system updates. Responds to unemployment and disability claims notifications. Issues annual benefits summaries and compliance documents. Maintains organized benefit and leave records. Prepares and distributes monthly wellness emails and content for employee screens. Coordinates with medical and wellness providers for program integration and accessibility. Assists in planning and executing health and wellness fairs. Supports WeCare wellness program, tracking participation, eligibility, and organizing community events. Translates communications between English and Spanish as needed. Promotes safety, wellness, and benefits programs. Prepares records and reports for benefits audits. Performs additional duties as directed by leadership. Qualifications QUALIFICATIONS Associate’s degree or equivalent required; bachelor’s degree and HR/Benefits certification preferred. 2–3 years of relevant experience or training. Experience, education, or training may be substituted. Availability to work weekends and holidays. Experience with HRIS, benefits software, and online portals. Proficient in Microsoft Office, especially Excel. Bilingual in English and Spanish required. Ability to stand, kneel, squat for prolonged periods, and lift up to 25 lbs. Position will be filled following California Labor Code and San Diego Municipal Code. Salary range posted; actual pay may vary based on qualifications and experience.
