Position Objective
We are seeking a proactive and highly professional Office Manager to support the transition of our New Jersey facility into a fully integrated operation within the larger AAF International manufacturing organization. This is a key leadership role responsible for ensuring a smooth transformation by elevating administrative functions, streamlining office operations, and serving as the primary liaison between the plant and corporate departments such as HR, Finance, Operations, and Supply Chain.
Key Accountabilities
Office Operations & Administration
- Oversee all day-to-day office functions including supplies, vendor relationships, facility needs, and general office upkeep.
- Deliver a high degree of administrative automation to assist with modernizing IT systems.
- Drive the transition of the business from highly paper dominated procedures to a paperless location.
- Be prepared to drive hard to achieve monthly goals and meet customer expectations, but ready to step in and prevent safety, quality or compliance risks.
- Maintain accurate records and filing systems (digital and physical), including those related to personnel, purchasing, and compliance documentation.
- Ensure professional communication standards are met in all external and internal correspondence.
- Serve as the on-site administrative liaison to corporate functions including HR, Accounting, IT, EHS, and Procurement.
- Prepare reports, presentations, and documentation to meet corporate standards and deadlines.
- Facilitate clear, timely communication between the plant and regional/corporate leadership.
- Design and produce visual management mechanisms (dashboards, etc.) which convey a snapshot of financial and administrative positions on a daily basis that are easily understandable to both corporate management and local employees.
- Support onboarding and offboarding of plant employees in coordination with corporate HR.
- Help foster a professional, inclusive, and collaborative workplace environment during this period of organizational change.
- Assist with scheduling and coordinating internal meetings, training sessions, and employee engagement activities.
- Identify and implement improvements to current administrative systems to align with corporate policies and best practices.
- Support the integration of new technologies, tools, and procedures during the transition period.
- Produce and document processes that are repeatable and can be followed without the need for continuous managerial support or regular exceptions.
- Create clear action plans to achieve monthly and quarterly financial and administrative goals and then execute the plans.
Position Requirements:
- Associate or Bachelors degree in Business Administration, Office Management, or related field preferred;
- 3+ years of experience in office management, preferably in a manufacturing or industrial setting;
- Demonstrated experience supporting leadership teams and coordinating across multiple departments;
- Strong written and verbal communication skills with the ability to interface professionally at all organizational levels;
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with ERP systems is a plus;
- Detail-oriented with a strong sense of accountability and the ability to manage multiple priorities.
- Highly organized and proactive, with a continuous improvement mindset.
- Comfortable navigating change, ambiguity, and cross-functional collaboration.
Salary Description
$85K - $95K per year
