About the Role:
As an Installation Project Coordinator at CRI, you'll be the organizational heartbeat behind our fast-paced furniture installation projects. You'll coordinate daily with clients, vendors, warehouse teams, and Project Managers, ensuring that every detail is accounted for and every communication is clear and timely. From scheduling deliveries and creating detailed work orders to tracking progress and problem-solving on the fly, you'll play a key role in keeping projects on track and our clients informed.

This role is a launchpad for future growth into an Installation Project Manager position, offering exposure to large-scale commercial projects and a collaborative, supportive team environment.
Align Furniture Services is located in San Leandro. This role requires in-person attendance 5 days a week.
Summary of Responsibilities: Schedule deliveries and installations by collaborating daily with Project Managers, warehouse teams, and clients to ensure smooth execution. Proactively communicate project timelines, installation plans, and any potential scheduling changes to all stakeholders. Act as a trusted point of contact for clients and vendors, providing clear updates and solutions regarding order status, delivery schedules, and project progress. Provide timely, detailed responses to client and vendor inquiries-whether by phone, email, or in-person-to resolve issues and keep projects moving forward. Review the detailed work orders outlining the scope of work for installation teams, ensuring all necessary information is documented for success onsite. Assist with maintaining accurate project documentation, including installation specifics, pricing summaries, and change orders, ensuring timely invoicing and file closeout. Match signed work orders with project files, flagging and communicating any field notes or discrepancies to the Installation Project Manager. Review and distribute pull lists for the warehouse team, detailing all products to be loaded for installations. Along with the Installation Project Managers, interface with warehouse and field operations throughout the project lifecycle to anticipate challenges, gather critical information, and support deliverables. Prepare and update status reports to keep internal teams and clients informed on project progress. Send receiving reports to clients and vendors, ensuring accurate documentation of incoming product. Match receiving reports with client-provided tickets to verify accurate product delivery. Scan and file invoice packets and project documentation upon completion for seamless record-keeping. Participate in team meetings and collaborate with Dcor, Demo, and Projects teams as needed. Step in to support special projects or assist team members during peak workloads.
Requirements
Experience/Skills: Detail-obsessed with strong organizational skills and the ability to juggle multiple projects simultaneously. Excellent problem-solving skills with a proactive mindset to address issues before they escalate. Strong interpersonal and communication skills - comfortable interacting with clients, vendors, and internal teams via phone, email, and in-person. Ability to manage time and resources effectively in a dynamic, fast-paced environment. Demonstrates professionalism, integrity, and sound judgment in business transactions. Commitment to providing an exceptional level of customer satisfaction. Working knowledge of Microsoft Office, especially Word and Excel. A minimum of 3 years of office administrative experience. Previous experience in project coordination within the commercial furniture or related industries is preferred. Familiarity with installation workflows, warehouse coordination, or vendor management. Experience handling large-scale project documentation, including pricing summaries and work order preparation. Exposure to project management tools or systems is a plus.
