Job Title: Executive Assistant
Location: Onsite – Dallas, TX (Office right off Klyde Warren Park – fantastic location)
Compensation: $60,000 – $100,000 DOE

Position Summary:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to our CEO. This role is ideal for a professional who thrives in fast-paced environments, anticipates needs before they arise, and ensures the CEO’s time and priorities are optimized. You’ll play a key role in supporting executive operations, enabling strategic initiatives, and acting as a bridge between the CEO and internal/external stakeholders.
Key Responsibilities
Executive Support
- Manage and optimize the CEO’s complex calendar across multiple global time zones.
- Coordinate extensive travel arrangements, including client visits, conferences, and team offsites.
- Prepare briefing materials, agendas, itineraries, and relevant background information for meetings and trips.
- Handle confidential communications and sensitive matters with the utmost discretion and professionalism.
Operational Support
- Monitor and help manage day-to-day business operations alongside the CEO.
- Track follow-ups from leadership meetings and ensure accountability across departments.
- Collaborate with product and engineering leads to ensure smooth execution of strategic priorities.
Strategic Partnership
- Serve as a thought partner to the CEO on client engagement, industry trends, and growth opportunities in the outdoor recreation, parks, and hospitality sectors.
- Draft high-quality communications, presentations, and updates for internal and external audiences.
- Support relationship-building efforts with key clients and stakeholders, including pre- and post-meeting documentation and insights.
Cross-Functional Coordination
- Liaise with internal teams (Product, Engineering, Marketing, Client Success) to gather information and facilitate timely decision-making.
- Represent the CEO’s perspective and priorities when appropriate.
Qualifications
- 5+ years of experience as an Executive Assistant, Chief of Staff, or similar role—ideally within SaaS, technology, or industries related to outdoor recreation or hospitality.
- Exceptional organizational skills and the ability to manage multiple priorities with poise and efficiency.
- Strong communication skills, both written and verbal, with the ability to convey information clearly and diplomatically.
- High emotional intelligence with proven discretion, integrity, and judgment.
- Proficient with tools such as Microsoft Outlook, Teams, Slack, and project management platforms.
- Passion for outdoor spaces, travel, or parks/hospitality is a strong plus.
- Ability to travel occasionally to support events, conferences, or offsites.
