The Senior Specialist, Events and Sponsorships supports the planning, coordination, and execution of conferences, events, and sponsorship initiatives that enhance Mayo Clinic's global reputation, drive thought leadership visibility and promote engagement with key partners and audiences. This role works under the direction of the Marketing and Communications Manager
Events, Conferences and Sponsorships and collaborates closely with communications, content, and media teams to ensure seamless execution of internal and external event deliverables. Key Responsibilities: Support the logistical planning and day-of coordination for proprietary and third-party events, ensuring a polished, on-brand attendee experience. Assist in managing timelines, run-of-show documents, vendor coordination, venue logistics, registration processes, and speaker support. Coordinate with internal teams including content, creative, media, and communications to align messaging, branding, and speaker preparation for events and panels. Collaborate with the Director of Enterprise Thought Leadership, Communications Liaisons, and event speakers to support development of presentations, talking points, and promotional content. Assist in executing sponsor deliverables, including booth preparation, signage, digital assets, and post-event reporting. Support logistical planning for participation in partner-hosted conferences by managing materials, shipping, staffing schedules, and on-site logistics. Coordinate with internal creative and media teams to develop and deliver promotional materials, signage, digital campaigns, and collateral needed to support event visibility. Maintain inventory and quality control of event materials and signage Track event-specific expenses, invoices, and purchase requests, supporting the manager in maintaining budget accuracy. Gather attendee feedback and support post-event reporting and performance tracking to measure impact and identify improvements. Qualifications: Requires a bachelor's degree in a related field plus 3 years of relevant work experience. Strong written and oral communication skills. Ability to communicate in a way that creates clarity, simplifies messages, and aligns with organizational strategy. Knowledge of channels for communication and the ability to build effective communication and engagement strategies. Must be a self-starter with the ability to independently identify opportunities, solutions and resolve challenges. Demonstrated ability to deliver impactful results. Requires an attitude that actively seeks out change, embraces critical questioning, innovation, service and continuous improvement.
