Knowledge and experience in providing advanced administrative support
Experience with making travel arrangements and processing travel reimbursements
Demonstrated knowledge of purchasing and procurement methods and procedures
Computer skills to include effective use of an ERP financial system, intermediate Microsoft Office (to include Excel) skills, records management system, and spreadsheets
Ability to work under pressure, work, without supervision, handle multi-task projects, and complete work within established deadlines
Skill in basic math, bookkeeping/accounting
Ability to coordinate, gather information, and compile data as needed for events/meetings
Ability to prepare and proofread clear, concise, and grammatically correct correspondence
Preferred Qualifications
Bachelor’s degree or some college-level coursework
Minimum three years of experience as an administrative assistant
Knowledge of University/Academic policies and procedures
Knowledge of grants, contracts, and patents
Job Description
Responsible for providing administrative offices with assistance regarding administrative matters.
Job Duties
Performs advanced administrative support duties and responsibilities for the administrative operations of Research Development
Maintain multiple calendars
Manage room reservations
Schedule, coordinate, gather information, and compile data as needed for events/meetings
Maintain in-office accounts
Collect data and prepare reports
Generate customer invoices and purchase orders
Prepare and proofread reports, correspondence, and forms
Organize mail-outs, copy and fax documents
Monitor and/or order inventory and supplies
Set up and provide support for virtual and in-person meetings and events
Answer multi-line phone and transfer calls as needed as well as take detailed messages
Perform purchasing functions in SAP and hiring functions in PeopleAdmin
Maintain high confidentiality in an open setting
Purchase items using University system purchasing procedures (Marketplace, purchase orders, etc.)
Assist with travel requests and expense reports using Concur, book travel reservations as needed
Greet, screen, and route visitors
Perform other duties as assigned
