$95,000.00/yr - $125,000.00/yr Executive Assistant to the Executive Director – Nonprofit Organization - Temp to Hire A mission-driven nonprofit organization is seeking a
highly organized and proactive Executive Assistant
to provide exceptional support to the Executive Director and leadership team. This is an exciting opportunity to contribute to impactful work that drives positive change in communities, while working in a fast-paced, collaborative environment. Key Responsibilities: Executive Support Manage the Executive Director’s complex calendar, scheduling meetings, and prioritizing tasks in a dynamic environment. Oversee scheduling and project management for the Executive Director and leadership team using relevant software tools. Draft polished correspondence, reports, and documentation that reflect the organization’s mission and voice. Take accurate and detailed notes during meetings, translating verbal instructions into actionable tasks. Meeting & Event Support Plan, coordinate, and execute high-level meetings, ensuring seamless logistics and a professional attendee experience. Prepare engaging presentations and meeting materials in PowerPoint, Canva, or similar tools, maintaining brand consistency. Provide on-site event management and support for special events and initiatives. Relationship Management Build and maintain relationships with clients, donors, funders, and stakeholders on behalf of the Executive Director. Assist with partnership development, follow-ups, and preparation of donor and client materials. Administrative Operations Maintain organized files, contracts, and records related to the Executive Director’s work. Assist with processing reimbursements, reconciling expenses, and handling confidential information with discretion. Collaboration & Adaptability Work closely with the Executive Director to adapt to shifting priorities and a fast-changing policy environment. Collaborate with team members to advance overall organizational goals. Qualifications 15+ years of Executive Assistant or high-level administrative experience, preferably in a nonprofit or mission-driven environment. Exceptional organizational skills, attention to detail, and follow-through. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite, Google Workspace, and presentation tools such as Canva or PowerPoint. Ability to handle sensitive information with professionalism and discretion.
