To better support our new Chief Executive Office and the anticipated doubli ng of our portfolio over the next few years, Westcore is looking for an experienced
Executive Assistant .
Position Summary
The Executive Assistant supports the CEO and members of the Executive Team by managing day-to-day administrative operations and acting as a key partner in driving organizational efficiency. This individual serves as a trusted point of contact, overseeing scheduling, travel coordination, expense processing, and internal communications. In addition to traditional executive support, the role involves assisting with a multitude of ad hoc special projects. The position requires a high level of professionalism, discretion, and attention to detail, as well as the ability to thrive in a dynamic, fast-paced environment.
Core Roles & Responsibilities
Own and manage the CEO’s complex calendar, coordinate meetings across time zones, and act as a liaison between the executive office and internal/external stakeholders. Plan and book detailed travel arrangements, including multi-leg itineraries and accommodations; process and reconcile expense reports with timeliness and accuracy. Assist in preparing high-quality presentation materials for internal meetings, board sessions, and investor communications; support ad hoc research and project coordination as needed. Provide occasional administrative support to other members of the Executive Team, including scheduling, meeting logistics, and special initiatives as assigned. Handle sensitive information with discretion and sound judgment, ensuring the executive office operates with professionalism, reliability, and confidentiality at all times.
PRIMARY DUTIES:

Executive Support
Manage complex and dynamic calendars, including scheduling internal and external meetings, conferences, and travel itineraries Serve as gatekeeper and liaison for incoming requests, ensuring appropriate prioritization and follow-up Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries Prepare, submit, and track expense reports, ensuring accuracy and timely reimbursement Draft, edit, and proofread correspondence, reports, and presentation materials Organize and maintain confidential files, records, and corporate documents
Operational & Strategic Support
Assist in preparing high-quality materials for investor presentations, board meetings, and strategic initiatives Conduct market, asset, or investor-related research to support acquisition or portfolio management activities Support the coordination of special projects and cross-functional initiatives across the organization Assist with investor and capital partner communications as needed Participate in the coordination of fundraising and capital markets activities, including document preparation and due diligence support
Relationship Management
Build strong relationships across internal teams, external partners, and stakeholders Maintain a professional and polished presence while representing the executive office in all interactions
Requirements
Bachelor’s degree preferred. Minimum of two (2) years of supporting a C-Suite or Executive Professional(s). Advanced calendar and schedule management Complex travel coordination (domestic and international) Expense report processing and reconciliation (Concur System a Plus) Exceptional verbal and written communication skills Experience supporting strategic and cross-functional initiatives Strong attention to detail and ability to synthesize findings for decision-making Skilled in Microsoft Office Suite Sound judgment under pressure and ability to make independent decisions Strong interpersonal skills are needed.
