The Department of Natural Resources and Parks (DNRP) is opening a new “Collaboration Center” in downtown Seattle. This space will provide a dedicated area for all employees to gather and collaborate on work, training, and employee engagement. The ideal candidate will have a strong background in administrative office management, strategic planning, project management, data analysis, financial reporting, problem solving, and interpersonal skills. They will also be motivated to be at the forefront of developing the next era of office work and collaborative environments.
The successful candidate will collaborate with staff to implement procedures and guidance to effectively manage the "Collaboration Center" using various applications and technological platforms. Work closely with various internal services, like Facilities, Information Technology, Emergency Management, Security, and other agencies to ensure smooth coordination and collaboration. Create a safe and healthy space that welcomes everyone in our organization. Work directly with the FMD Project Manager responsible for the remaining "Collaboration Center" construction project. Manage storage permissions, purchases, and the shared supply inventory for the Center.

Supervise assigned staff and manage the work of contractors or administrative staff assigned to the Center for the day. Perform all supervision, performance, and personnel-related tasks for assigned staff; write and conduct performance appraisals; provide new staff orientation and training Assist in day-to-day operations, including reception desk, AV assistance, reservation issues, phone calls, managing equipment concerns, and working with various vendors. Develop processes and standards that ensure that the staff utilizing the Center have an exemplary experience (strong customer service, a clean and attractive facility). Collaborate with other supervisors to implement seamless customer service experience within the Center. Operate as a project manager or liaison to ensure that projects (maintenance, capital, or operational) directly related to the Center are on schedule and within the budget. Communicate in different modes that support an inclusive work environment. Develop assessment and evaluation methods to analyze trends in Center usage. Make recommendations on cost efficiency and customer service improvement methods. Participate in budget development and preparation, analyze and monitor expenses, authorize expenditures, and make recommendations on spending plan. Provide administrative and financial expertise regarding the budget and the reservation system. Utilizes change management concepts to guide communications and operational activities. Minimum Requirements 7+ years of supervisory experience or a combination of skills, knowledge, and abilities that demonstrate the ability to perform the job duties. Proven experience leading process improvement events or implementing efficiencies in workflow. Experience with budget development and monitoring. Experience analyzing data (or performance measures) to guide operational activities. Strong verbal and written communication skills that include the ability to address behavior or performance concerns effectively. Ability to interpret and evaluate events/issues and use analytical skills to anticipate, recognize and resolve problems successfully. Experience managing projects as the primary contact utilizing standard project management principles. Proficient knowledge of Microsoft suite and proprietary (AV) applications. Necessary Special Requirement: Ability to lift and move 40 pounds, climb step ladders to reach materials. Preferred Qualifications:
Requirements: Experience analyzing data and creating effective visualizations (Power BI, Tableau or similar programs). Experience using an online scheduling system for workspaces. Advanced knowledge of Oracle/EBS and Oracle budgeting. Experience in leading continuous improvement efforts and reporting on qualitative and quantitative outcomes.
