The Senior Executive Assistant To The CEO will provide comprehensive executive support while serving as a trusted business partner to the CEO. This role combines exceptional administrative excellence with strategic business acumen, requiring someone who can manage complex executive operations while contributing valuable insights to business initiatives. The ideal candidate will serve as the CEO's operational backbone and strategic sounding board, ensuring seamless executive function while supporting key organizational priorities. This is a highly visible and impactful role, interacting with internal and external stakeholders including Board of Trustees, Major Donors, the executive team, senior management, and external consultants. The ideal candidate is a proactive, self-starter with exceptional communication skills, meticulous attention to detail, creative problem-solving skills, and proven experience working with C-Suite executive teams in a fast-paced environment. This role requires a highly resourceful team player who seeks continuous improvement and is comfortable working independently, sometimes under pressure while remaining professional, flexible, proactive, aligned, and efficient. Critical decision-making skills, with the ability to handle sensitive information with excellent judgment, diplomacy, and discretion are necessary for success. Expected Compensation Range: $110,000 - $125,000 /annualized. Exact salary determined by experience and education related to the role, organizational compensation structure, and internal equity. Your Responsibilities: Executive Administrative Management Manage the CEO's complex calendar with strategic prioritization and stakeholder coordination Plan comprehensive travel arrangements including itineraries, agendas, and meeting documentation Screen, prioritize, and manage all incoming communications, calls, and meeting requests Prepare meeting materials, agendas, and briefing documents for executive and board meetings Handle expense management, invoicing, and financial administrative tasks Maintain organized digital and physical filing systems for confidential executive materials Coordinate executive office operations and interface with internal and external stakeholders Anticipate and proactively suggest ways to enhance the quality and efficiency of work and implement them when appropriate Identifying areas of improvement across the organization and making actionable recommendations Communication & Relationship Management Screen, prioritize, and manage all incoming communications, calls, and meeting requests using independent judgment Maintain external contact relationships, tracking periodic communication needs and follow-up requirements Represent the CEO professionally with visitors, company functions, and stakeholder interactions Donor Relations & Development Support Coordinate with internal teams and donors to ensure regular CEO connection with major donors and donor prospects Schedule and facilitate donor meetings, cultivation events, and stewardship activities Maintain donor relationship tracking and follow-up communication schedules Meeting & Event Coordination Prepare meeting materials, agendas, and briefing documents for executive and board meetings Schedule meetings and coordinate all logistics including technology, facilities, catering, and presentation materials Plan and execute office events and large-scale company functions using internal and external resources Board Of Trustees Support Master scheduling for all Board activities and coordinate Trustee events and meetings with organizational staff Develop Board agendas and coordinate with presenters to ensure comprehensive meeting preparation Draft reports, presentations, and memos to Trustees; compile and edit executive team reporting to the Board Handle all Board-related activities and communications with professionalism, accuracy, and confidentiality Project Coordination & Administrative Leadership Lead administrative aspects of special projects while providing business input Coordinate cross-departmental initiatives requiring executive involvement Manage administrative processes and improve operational efficiency Support organizational planning activities and goal-setting processes Document Preparation & Support Create high-quality professional materials including PowerPoint presentations, memos, and Excel spreadsheets Take meeting minutes and provide transcription services as needed Manage social media accounts and digital presence as required Education/Experience: Bachelor's degree preferred or equivalent professional experience Minimum 7 - 10 years of progressive executive administrative experience supporting C-level executives Previous experience in business support roles with strategic involvement Background in environments with complex organizational structures Experience supporting executives in fast-paced, dynamic business environments Administrative & Technical Skills: Advanced proficiency in Microsoft Office Suite, and productivity tools Expert-level calendar management and travel coordination capabilities Experience with developing and managing complex projects Experience with expense management systems and financial administrative processes Proficiency with video conferencing platforms and virtual meeting coordination Business & Communication Skills: Strong business acumen with understanding of enterprise operations and metrics Excellent written and verbal communication skills with professional presentation abilities Ability to draft executive-level correspondence and business communications Research and analytical skills to support business decision-making Experience with board governance Personal Competencies: Exceptional organizational skills with meticulous attention to detail Ability to manage multiple priorities and competing demands effectively High emotional intelligence and professional interpersonal skills Absolute discretion and confidentiality in handling sensitive information Proactive problem-solving approach with ability to anticipate needs Calm under pressure with excellent judgment and decision-making abilities Physical Demands and Working Conditions: Physical and Temporal Requirements: Prolonged periods of sitting at a desk and working on a computer.
