Adams & Martin Group has partnered with a prestigious Beverly Hills law firm to find a skilled Entertainment Secretary to support attorneys in the firm's Entertainment and Music Departments. This full-time, onsite position requires a candidate with exceptional organizational skills and proven experience in a law firm or high-level corporate environment. While prior entertainment or music industry experience is a plus, strong legal assistant experience, particularly in BigLaw corporate practice, is highly valued.

Responsibilities

Position Overview

Adams & Martin Group has partnered with a prestigious Beverly Hills law firm to find a skilled Entertainment Secretary to support attorneys in the firm's Entertainment and Music Departments. This full-time, onsite position requires a candidate with exceptional organizational skills and proven experience in a law firm or high-level corporate environment. While prior entertainment or music industry experience is a plus, strong legal assistant experience, particularly in BigLaw corporate practice, is highly valued.

Responsibilities
  • Manage complex, heavy calendars for attorneys, including scheduling business and personal appointments, calls, lunches, dinners, and confirming arrangements.
  • File emails, correspondence, agreements, and other documents in the firm's iManage electronic filing system (and physical files when applicable).
  • Screen and direct calls, manage high-volume emails, and correspond professionally with clients, talent, talent representatives, record labels, music publishers, and third parties.
  • Utilize document comparison software to run redlines.
  • Prepare, process, and track attorney expense reports.
  • Work closely and effectively with attorneys to ensure priorities and deadlines are met.
  • Maintain absolute discretion and confidentiality in all matters.
  • Arrange domestic and international travel, including itineraries and logistics.
  • Plan, coordinate, and ensure attorneys' schedules are followed, sending daily reminders of meetings and calendar events.
Qualifications
  • Minimum of five years of assistant or executive assistant experience in a law firm (BigLaw corporate experience strongly preferred).
  • Superb attention to detail and strong organizational skills.
  • Exceptional interpersonal, communication, and analytical abilities.
  • Ability to work proactively and independently, anticipating attorneys' needs.
  • Self-starter with excellent time management skills and the ability to handle multiple priorities under tight deadlines.
  • Ability to manage attorney and client demands with professionalism and tact.
  • Experience at a talent law firm, corporate law firm, record label, or music publisher preferred.
  • Knowledge of music industry terminology is a plus, but not required.
  • Proficiency with iManage (or similar DMS) and document comparison tools a plus.
Required Work Hours

Monday to Friday, 8:00 AM to 5:00 PM
