The Director of Operations reports to the CEO and is responsible for driving business results, ensuring operational efficiency, particularly as the company grows. This role focuses on executing in the following areas: (1) Operations and Process Optimization; (2) Digital Platform
Key Responsibilities
Operations and Process Optimization
- Develop and maintain the annual business plan (with input from the rest of the leadership team and executive), ensure that performance KPIs are reported weekly and determine whether the business is operating within budget and according to plan, and, if not, develop appropriate action plans to rectify.
- Develop applicable financial reporting for the Executive Director, the Board of Directors, the CEO, the Leadership Team and Prospective Investors.
- Develop and implement scalable operational frameworks to support the existing operations and facilitate growth initiatives, including:
- Procurement and management of vendor relationships, including software licenses and certifications relating to the operation of the enterprise (excluding benefits and insurance providers).
- Management and oversight of all event budgets and logistics, including event requirements identification, venue selection and contracting/communications with venues, caterers, restaurants, hotels, and organizing employee travel.
- People & Culture processes including maintenance of the staffing plan, talent recruitment, employee on-boarding, PTO management and reporting, oversight of commissions calculations and verification processes, and offboarding.
- Manage follow up with companies identified on AR report.
- Manage real estate/office/IT and other physical and IT infrastructure needs of the business.
- Lead process automation and efficiency improvements across departments.
- Develop systems for tracking operational performance, identifying bottlenecks, and making measurable improvements.
- Ensure compliance with regulatory requirements and industry best practices, including VAT and other tax filings, visa requirements for employee travel and any permitting/licensing required for BuiltWorlds events.
- Collaborate with Research, Marketing, and Sales teams, and VP of Finance, to ensure alignment on company operational objectives, budget and strategic priorities.
Digital Platform
- Responsible for the product management and roadmap of the operational and client-facing digital solutions
- Together with the executive, develop and execute the data strategy
- Optimize the client digital journey, including in the areas of on-boarding (issuance of user licenses, client orientation), renewals and expansion of BuiltWorlds research tracks and services, including:
- Develop and implement updated process for onboarding clients, ensuring access to BuiltWorlds digital platform (as applicable) and facilitate connections between clients and research team.
- Develop and implement client engagement, retention and expansion program.
- Develop client mapping program of active users in order to increase engagement from within a client’s organization.
- Together with the Leadership Team, identify and pursue new growth opportunities, including partnerships, new geographic markets, and expanded service offerings.
- Implement and track KPIs, using analytics to measure and refine growth efforts.
- Contribute to a culture that delivers employees an experience focused on collaboration, career development and organizational growth, accountability and respect.
