Payroll Specialist
The Payroll Specialist is responsible for managing all aspects of payroll processing. Duties for this position include collecting and verifying employee data, processing timesheets and computing wages, updating payroll records, answering employee questions about payments, and ensuring employees receive correct and timely payments. The Payroll Specialist should be able to efficiently coordinate payroll tasks and strictly follow company policies and legal regulations for multiple states. This role requires great attention to detail, outstanding analytical and numerical skills, the ability to work well with multiple departments (including Accounting and Human Resources), and the ability to meet all deadlines in a fast-paced environment. Principle Responsibilities: Coordinating with HR about changes in payroll (e.g., promotions, transfers, terminations, new hires, etc.). Processing attendance records and other documents (e.g., W-2 and tax forms). Reviewing payroll information for accuracy and ensuring all relevant paperwork is in order. Computing wages, deductions, bonuses, benefits, etc. Recording and maintaining employee records and payroll transactions. Preparing statements and reports reflecting earnings, taxes, and deductions for recordkeeping and auditing purposes. Answering questions and resolving issues regarding payroll. Ensuring compliance with company policies, tax and wage laws, and relevant industry regulations. Preparing and processing hourly and salaried weekly and/or bi-weekly payrolls for electronic payments and distribution of payroll checks. Processing stop-payments or adjustments of payroll. Qualifications/Experience: High School Diploma or GED required. College degree in business, accounting, finance, or relevant field preferred. Proficiency with Microsoft Excel, Word, and Outlook required. Familiarity with database software (Access, PeopleSoft) preferred. Excellent interpersonal and communication skills. Ability to compile, sort, and interpret data. Must have good organizational and time management skills. Must be quality and accuracy oriented and have a good attention to detail. Must be able to work independently and as part of a team. 3-5 years of experience as a payroll coordinator or similar role, preferably with multi-state payroll experience. Working knowledge of accounting and payroll practices, legislation relevant to accounting and payroll, and tax laws. Ability to maintain strict confidentiality. Previous experience processing union and/or prevailing wage payroll preferred. Knowledge of ADP payroll experience preferred.
