Summary The Office and Human Resources Administrative Assistant serves as the primary onsite point of contact for employees, visitors, and vendors, ensuring a professional and welcoming environment. This role manages front desk operations, answers calls, and facilitates effective internal and external communication. The position supports employee relations and maintains accurate HR records, forms, and reports. The role also oversees onboarding of new hires with the support of the HR Generalist.
Essential Job Duties and Responsibilities HR: Manage and coordinate office documents and files; responsibilities include scheduling meetings, managing office supplies, maintaining filing systems Ensure the security and confidentiality of sensitive information Notify appropriate personnel when vendors arrive for scheduled meetings Serve as the primary point of contact for internal and external communications Facilitate communication between departments to ensure timely and effective information sharing Maintain positive Employee Relations including posting announcements in the breakroom and conducting weekly plant walk-throughs to engage with employees Accurately document and maintain HR records in HRIS System Onboard scheduled new hires using HR Information System in a timely manner Prepare, distribute, and explain Onboarding Materials as needed Collect, scan, and upload I-9 Documents during Onboarding Weekly T&A report distribution to supervisors and plant manager
Essential Job Duties and Responsibilities HR: Greet visitors, answer phone calls, and provide general support to employees and visitors to ensure a welcoming environment Perform duties according to Standard Operating Procedures (SOP) and Sanitization Standard Operating Procedures (SSOP) that meet quality and safety standards pertaining to: Hazard Analysis & Critical Control Points (HACCP), Food and Drug Administration (FDA), Environmental Protection Agency (EPA), Occupational Safety and Health Administration (OSHA), United States Department of Agriculture (USDA), Wisconsin Department of Agriculture (WDA), and customer requirements Conduct behavior in compliance with Lifeway Employee Policy Accurately document and maintain records as requested Perform additional duties as assigned Qualification and Education Requirements Minimum of three years related
training/experience
in an administrative or HR support role Exceptional ability to organize, prioritize, and multitask. Flexibility to adjust to shifting priorities and communicate accordingly. Strong written and verbal communication skills for reports, phone calls, and emails Proficient in Microsoft Office Suite, including excel, outlook, calendar, etc. Familiarity with HRIS systems, ADP preferred
