Job Title:
Administrative Assistant to Executive Team Hybrid 4/1 Our client, a private equity firm in the Peninsula, is looking for an Administrative Assistant to support three C-suite executives. This full-time position offers long-term growth potential, and the opportunity to work in a fast-paced, high-performing environment with a close-knit and collaborative team. The ideal candidate will bring a proactive mindset, polished communication skills, and a meticulous approach to administrative coordination. This role is suited to someone who thrives in an environment where attention to detail, discretion, and professionalism are crucial. Key Responsibilities Executive Support Manage complex calendars with a high degree of coordination across time zones and priorities Anticipate scheduling needs and proactively resolve conflicts or shifting priorities Coordinate thoughtful and efficient travel itineraries in line with personal preferences and firm policies Handle sensitive calls and provide phone coverage for multiple lines as needed Prepare and submit detailed monthly expense reports using internal systems Manage collection and distribution of time-sensitive documents requiring signature (electronic and physical) Provide occasional coverage for fellow administrative team members during PTO or peak periods Assist with planning and logistics for firm-wide events such as holiday gatherings, offsites, and internal meetings Maintain effective communication with external vendors and internal stakeholders to ensure seamless coordination Participate in occasional project-based administrative assignments that require agility and follow-through Qualifications 1-3 years of experience in a fast-paced, professional environment; experience in financial services, administrative support, or hospitality preferred Demonstrated ability to manage multiple responsibilities with precision and care Excellent written and verbal communication skills; professional presence in all interactions Strong organizational instincts with the ability to adapt quickly to change Trustworthy and discreet, with proven ability to handle confidential information appropriately Collaborative spirit and willingness to pitch in across a team environment Preferred Technical Skills Microsoft Office Suite (particularly Outlook, Teams, and SharePoint) Familiarity with expense and travel platforms such as Concur and Navan Experience with CRM or internal tracking systems such as SugarCRM is a plus You can use www.workgrades.com to collect and manage your references for free and share them with us or anyone else you choose.
