Super Soccer Stars is looking to hire a full-time Scheduling Coordinator to join our team in NYC!

We are seeking a

Scheduling Coordinator

who is passionate about youth development, athletics, and fostering strong community relationships. This role is essential to ensuring the day-to-day operations of our programs run smoothly by scheduling coaches, communicating important updates, and problem-solving in real-time.

You will report

directly to the Scheduling Supervisor

and work closely with the

Operations Manager

to ensure seamless program delivery across all sites.

This is an

in-person position, Tuesday through Saturday , with the possibility of remote flexibility in the future based on performance and organizational needs. Please only

Day-to-day operations: Scheduling & Staffing Coordinate daily, weekly, and seasonal schedules for coaches using our web-based staffing system Ensure all classes are fully staffed to meet Youth Athletes United standards and maintain coach consistency Maintain proper child-to-coach ratios across all programs Schedule staff according to program-specific needs and qualifications Track and process time-off and sick leave requests Manage last-minute coverage needs and ensure all sessions are staffed Coach Communication & Support Serve as the point of contact for coaches with scheduling questions or changes Respond to incoming calls and emails from staff Share timely updates with coaches regarding classes, locations, or staffing changes Flag and report any schedule discrepancies or concerns to the appropriate departments Communicate updates clearly and promptly via email, Slack, or other internal tools Operational & Administrative Support Maintain accurate staffing records and produce daily/weekly reports Communicate coverage gaps or operational concerns Identify staffing trends and propose solutions to improve retention and efficiency Support additional staffing or operational needs as assigned

Schedule: In-office, Tuesday through Saturday Must have early morning availability Schedule may shift slightly based on seasonal needs Remote work may be considered in the future based on performance and organizational needs Requirements Must be able to work Tuesdays - Fridays (8:30 AM - 5:30 PM) & Saturdays (7:30 AM - 4:30 PM) Strong organizational and communication skills Familiarity with tools like

Google Sheets, scheduling software, and Slack Ability to

adapt/respond to different personality types

and coaching styles Personable, hard-working, outgoing, and energetic Demonstrates

personal initiative

and the ability to

problem-solve Comfortable working

independently

and

proactively

on projects and responsibilities Highly organized and efficient in a

fast-paced environment Able to

multitask and respond calmly under pressure 1–2 years of experience in

staffing, scheduling, HR, or program coordination
