Job Summary: The Scheduling Coordinator plays a critical role in managing and optimizing schedules across multiple facilities and service lines. This position requires strong communication skills, attention to detail, and the ability to adapt to changing volumes and operational needs. The coordinator works closely with clinical and administrative leadership to ensure schedules are accurate, efficient, and aligned with staffing resources. Duties and Responsibilities (including but not limited to): Coordinate and manage daily schedules for multiple facilities and locations. Monitor case volumes and identify trends in real time, including unexpected drops in volume. Collaborate with leadership to make proactive adjustments within established timelines and respond to last-minute changes. Communicate schedule changes promptly to staff and leadership. Balance staffing resources with operational demands to maintain efficiency and patient care standards. Manage vacation and time-off requests in coordination with the Practice Manager. Track and report daily, weekly, and monthly staffing metrics. Participate in regular check-ins with leadership to review schedules and staffing plans. Coordinate with clinical teams to ensure coverage for specialized procedures or service lines. Maintain accurate and timely updates in scheduling software. Rotate on the clinical phone as part of shared departmental responsibilities. Develop and implement strategic scheduling plans during periods of fluctuating case volumes. Maintain HIPAA compliance and confidentiality in all scheduling communications. Communicate effectively with clinical staff and other support staff regarding the overall schedule. Actively participate in system and process improvement projects and ideas. Identify system and workflow improvements to enhance the team's efficiency Keeps accurate record of cancelled cases and oversee the trend of cancelled cases. Proficient in customer service skills and communicate with confidence and care to all clients and staff. Reports outstanding items needing leadership attention to the Practice Manager. Practice in client meetings as necessary alongside the Practice Manager. Job Requirements: High school diploma (Associate or Bachelor's degree preferred). Previous experience in scheduling, preferably in a healthcare or surgical setting. Strong communication and interpersonal skills. Advanced computer skills, including Microsoft Office Suite. Familiarity with EPIC, AdvancedMD, or similar scheduling software is a plus. Ability to work independently, prioritize tasks, and adapt to changing demands. Keen attention to detail and strong organizational skills.
