03 Years Schedule & Work Environment: Based in Chicago office: 4 days in-office / 1 day remote Typical start time: 7:00 AM 8:00 AM, 8-hour workday Two-round interview process: 1 virtual, 1 onsite This is a backfill role with training provided to get the new EA up to speed Team Structure: Part of an EA team of ~4 Supports C-Suite executives in HR and General Counsel Provides medium-level support to VP of HR

Role Overview

We are seeking a highly motivated and detail-oriented

Executive Assistant

to support the executive leadership team. This role requires proactive organizational, communication, and problem-solving skills to ensure smooth and efficient operation of the executive office. You will handle a variety of administrative and strategic support tasks, contributing to both day-to-day operations and special initiatives.

Key Responsibilities

Provide high-level administrative support to executive leadership Manage complex calendars, schedule appointments, and meet deadlines Coordinate travel arrangements, meetings, and event logistics Screen and prioritize incoming communications (phone, email, mail) Draft, edit, and proof correspondence, reports, presentations, and internal documents Prepare and manage confidential and financial data with discretion Conduct internet-based research to support executive initiatives Create and maintain databases, spreadsheets, and filing systems Support event planning and preparation of PowerPoint decks Assist with other administrative tasks and special projects as needed

Qualifications

03 years of experience in an executive or administrative support role Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent written and verbal communication skills Strong interpersonal, negotiation, and organizational abilities High level of discretion and confidentiality Ability to multitask, prioritize, and meet deadlines in a fast-paced environment Self-starter with strong problem-solving and analytical skills

Preferred Qualifications

Experience in a fast-paced corporate or startup environment Familiarity with scheduling and project management tools (Zoom, Slack, Trello, Asana) Experience in CPG or HR environments is a plus
