We are seeking an experienced
Administrative Assistant
with a strong background in
Oracle
and
Maximo
systems to provide high-level administrative and operational support. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires discretion, initiative, and a commitment to excellence. Key Responsibilities: Independently manage calendars, schedules, and appointments for team members, ensuring optimal time management and task prioritization Coordinate meetings, events, and conferences, including logistics, agendas, and post-meeting follow-ups Prepare and edit professional documents, presentations, reports, and correspondence Conduct data gathering and research to support strategic planning and operational decisions Manage sensitive and confidential information with a high level of discretion and integrity Assist in budget tracking, expense reporting, and financial documentation in alignment with company policies Serve as a liaison and point of contact for internal departments and external stakeholders Provide system support using
Oracle
and
Maximo
for project and operational data management Maintain organized records, files, and administrative databases for team use Required Qualifications: 6-10 years
of administrative experience, preferably in utilities, engineering, or industrial environments Proficient with
Oracle
and
Maximo
systems (required) Strong knowledge of
Microsoft Office Suite
(Word, Excel, PowerPoint, Outlook) Demonstrated ability to manage multiple tasks with attention to detail and accuracy Excellent written and verbal communication skills Ability to work independently and as part of a team Strong interpersonal skills and professional demeanor Experience handling confidential and sensitive information
