Position Summary

The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer of our cardiology practice with 21 providers across 6 locations in South Atlanta. This role demands a dynamic individual who excels in executive support and has a solid background in property management. The Executive Assistant will ensure the CEO's office operates smoothly and efficiently.

Key Responsibilities

Executive Support:

Manage the CEO's calendar, schedule meetings, and coordinate appointments to optimize time management and ensure priorities are addressed. Prepare and edit correspondence, reports, presentations, and other documents as required by the CEO. Coordinate and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items. Handle confidential information with discretion and professionalism. Communication and Liaison:

Serve as a primary point of contact between the CEO and internal/external stakeholders, including staff, patients, vendors, and business partners. Manage and prioritize incoming communication, including emails, phone calls, and mail, ensuring timely responses and appropriate follow-ups. Represent the CEO in meetings and interactions as needed, maintaining a high level of professionalism and organizational knowledge. Administrative Tasks:

Manage practice wide supply chain ordering. Organize and maintain electronic and physical filing systems, ensuring accuracy and confidentiality of sensitive information. Manage travel arrangements, including flights, accommodations, and transportation for the CEO. Process expense reports, purchase orders, and invoices in accordance with the CEO's policies. Coordinate special events, meetings, and corporate functions as directed by the CEO. Strategic and Operational Support:

Assist in the development and execution of strategic initiatives and operational plans. Conduct research and prepare briefing materials for the CEO on various topics, including industry trends and competitive analysis. Support the CEO in developing and implementing organizational policies and procedures. Qualifications

Minimum of 5 years of experience as an executive assistant supporting executives preferably in a healthcare setting. Requirements

Work experience as an Executive Assistant, Personal Assistant or similar role Excellent MS Office knowledge Outstanding organizational and time management skills Familiarity with office gadgets and applications (e.g. e-calendars and copy machines) Excellent verbal and written communications skills Discretion and confidentiality High School degree PA diploma or certification is a plus
