Desired Skills and Qualifications: Ability to work well in a team environment People Person - Customer Service Oriented Likes Community Involvement Compassion to work in Human Services Desire to Make A Difference The Executive Assistant works with the Executive Team and completes tasks as assigned providing high-level administrative support. Essential Functions and Desired Outcomes: Provides confidential secretarial services to the Executive Team, including typing, editing, preparing correspondence and reports, etc. Maintains and manages the executive's calendar, scheduling meetings, appointments, and prioritizing tasks. Coordinates travel plans, accommodations, and transportation. Sets up meeting agendas, preparing materials, taking minutes, and following up on action items. Drafts emails, letters, reports, presentations, and other documents on behalf of the executive team. Processes and submits receipts and expense reports on behalf of the executive team. Orders supplies, managing office logistics, and coordinating with other departments. Maintains discretion with sensitive information. Coordinates and maintains Board communications, committee records, and minutes of meetings. Provide back up for other management staff and assist with projects and scheduling as directed. Qualifications: Must possess a high school diploma/equivalent and four or more years advanced office organization experience, preferably experience reporting directly to upper management. Must be able to handle sensitive and confidential information professionally at all times. Ability to perform fine motor skills and repetitive motions involved in typing/data entry. Possess advanced computer and telecommunication skills, with proficiency in Microsoft Office Suite. An energetic, outgoing, detail-oriented person who demonstrates strong written and verbal communication skills. Ability to be resourceful and proactive when issues arise. Excellent organization, time management, and multi-tasking skills with the ability to prioritize tasks. Must pass a periodic WI Caregiver Background Checks including Department of Justice Criminal Record Checks, and/or that of previous states of residence. Must possess a valid WI driver's license (where required), and ability to meet agency driving standards. Must provide proof of auto insurance (where required).
