What You'll Do & What It Takes You'll be the COO's right hand (and sometimes left!), juggling calendars, managing confidential projects, coordinating with senior leaders, and keeping strategic initiatives on track-all while bringing your A-game in organization and problem-solving. To succeed, you'll need a bachelor's degree (or equivalent experience), at least 5 years supporting executives, top-tier communication skills, expert-level Microsoft Office know-how, and the ability to make smart, independent decisions. You should be detail-obsessed, deadline-driven, collaborative, and-most importantly-able to keep confidential matters truly confidential.

Duties & Responsibilities
Serve as the strategic partner to the COO, providing analysis, recommendations and follow-up on operational and organizational initiatives. Acts as a liaison between COO and senior leadership, external stakeholders and cross-functional teams to facilitate decision-making and ensure alignment with organizational objectives. Organize and manage the COO's calendar, schedule meetings, and coordinate logistics. Manages sensitive and confidential information, exercising sound judgment in determining what to escalate, delegate or resolve independently. Oversee preparation of complex reports, presentations and briefings, synthesizing data and insights for executive-level decision making. Lead and coordinate special projects that impact company strategy, operational efficiency, or cross departmental collaboration. Review, prioritize and respond to communication on behalf of the COO, drafting correspondence and guiding resolutions as appropriate. Develop and maintain systems to track key initiatives, ensuring deadlines and deliveries are met with minimal oversight. Recommend and implement process improvements to enhance operational efficiencies. Manage the Coo's schedule with authority to negotiate and adjust priorities bases on organizational needs. Create detailed itineraries and manage travel arrangements for the COO. Conduct research, compile data, and provide insights to support executive decision-making. Maintain confidential files, records, and documentation in an organized and secure manner. Manage expense reports, invoices, procurement requests, and other financial documentation for the COO. Represent the COO in meetings or communications when appropriate, ensuring professionalism and clarity. Build strong relationships across all levels of the organization to foster collaboration and trust. Collaborate with other assistants to align calendars, coordinate cross-functional events, streamline workflows, and ensure consistent communication and support across departments. Work closely with the Chief Executive Assistant to ensure alignment between the COO's initiatives and broader executive priorities, coordinating cross-functional efforts, sharing critical updates, and maintaining a unified rhythm across between the two officers. Adhere to all FACE Amusement policies and procedures while promoting a positive and fun work environment. Embrace a flexible mindset and be willing to take on additional responsibilities as needed.
Requirements
Bachelor's degree in business administration, or closely related field, or proven equivalent experience required. Minimum of 5 years' experience in an executive level administrative role. Demonstrated ability to exercise independent judgment and decision making in matters of significance. Exceptional organizational, communication and problem-solving skills. Strong analytical abilities with the capability to synthesize information for executive level decisions. Demonstrated proficiency skills with Microsoft Office suite of products and project management. Ability to always ensure confidentiality and handle company and executive information discreetly. High attention to detail and an expert level of written and verbal communication skills. Have superior organizational skills while meeting ever-changing priorities and deadlines.
