Sr. Executive Assistant to the COO

EDUCATION REQUIREMENTS: •Master's degree or equivalent experience preferred. Bachelor's degree or equivalent experience required.

WORK EXPERIENCE REQUIREMENTS: •10 years of experience in a high-level office environment supporting leadership with high-level emotional intelligence

SUPERVISORY REQUIREMENTS: •3-5 years

QUALIFICATIONS: •A natural, confident leader with strong interpersonal skills. •Skilled in collaboration and problem solving to ensure that the work is efficient and effective. •Proficient in Microsoft: Office, PowerPoint, Publisher, and Excel •Proficiency in technology to help ensure the technological needs of the COO are met in a variety of circumstances. •Ability to review and analyze data and present clear, communicative reports. •Excellent verbal and written communication skills. •Strong time management and organizational skills. •Available to work a demanding schedule which includes availability in evenings and weekends. •Confidentiality is a requirement for the role.

RESPONSIBILITIES •Serve as a trusted liaison between the COO and internal/external stakeholders, ensuring timely and accurate communication. •Act as a trusted advisor to the COO, providing insight, coordination, and support on strategic initiatives and organizational priorities. •Provide direct oversight and supervision of the Support Department, ensuring staff performance aligns with organizational standards and COO expectations •Facilitate effective decision-making by preparing briefings, synthesizing information, and managing follow-ups. •Represent the COO in meetings when needed, ensuring clear documentation of outcomes and timely execution of action items. •Maintain strict confidentiality on all matters related to the COO and organizational operations. •Build strong relationships across the COO's leadership team and staff to promote alignment with the COO's vision and goals. •Support leadership development and coaching initiatives, including co-planning and facilitation of training sessions. •Provide supervision coverage for Sr. Executive Leadership as needed, ensuring compliance with organizational standards. •Lead onboarding and ongoing training for new Executive Assistants, fostering a high- performing support team. •Manage the COO's complex calendar, travel arrangements, and meeting logistics, ensuring priorities are met with efficiency and precision. •Oversee and refine administrative processes and procedures to enhance productivity and streamline operations across departments. •Coordinate retreats, special events, and priority projects, including logistics, materials, and post-event reporting. •Support financial operations including invoice approvals, reconciliation of COO's banking statements, and timesheet management. •Draft and manage correspondence, reports, and presentations for the COO and Sr. leadership. •Assist with data reporting and analysis, including the development of spreadsheets, dashboards, and organizational charts. •Screen and manage incoming communications, including calls, mail, and visitors, ensuring appropriate prioritization and response. •Support national engagement efforts by coordinating logistics and communications for external events and partnerships. •Collaborate with CFS Leadership and all other divisions to facilitate data meetings, track deliverables, and ensure project alignment. •Partner with the Philadelphia Regional Office (PRO) and support teams to assess needs, optimize time management, and ensure alignment with COO directives. •Lead assessment and evaluation of implemented projects, ensuring adherence to project management protocols. •Maintain a comprehensive understanding of all organizational divisions to support cross- functional coordination and reporting. •Perform other duties as assigned.

This position requires a flexible work schedule to include evenings and weekends.

REQUIREMENTS: •Current Act 33, Police Clearances, and FBI Clearances •Registered and insured vehicle •Certificate of Insurance for vehicles •Valid/Clean Motor Vehicle Record •Valid Pennsylvania Driver's License •Valid PA Inspection (even if vehicle is registered in another state) •Available to work a flexible schedule •Carry a cell phone
