PRIMARY PURPOSE: The Secretary to Director of Personnel is directly responsible to the Director of Personnel and is expected to provide clerical assistance to relieve the administrator of paperwork permitting maximum attention to be devoted to education and educational administration.
QUALIFICATIONS: Education/Certification: TEA certification requirements High School Graduate or GED College hours in Business Administration preferred Special Knowledge/Skills: Ability to operate computer Ability to work with numbers in an accurate manner to keep track of time worked for non-exempt employees Knowledge of the operations, functions, and general scope of authority of school administration Experience: 5 years of secretarial work experience in school administration/or 2 years of college education
MAJOR RESPONSIBILITIES AND DUTIES: • Prepare Board Agenda Items for employment of tutors/technology interns. • Ability to manage time, organize work, multitask, and complete delegated assignments. • Ability to write accurate memoranda, letters, and electronic mail without close supervision. • Ability to carry out instructions and develop comprehensive plans with a minimum of supervision. • Ability to meet deadlines for duties assigned. • Ability to keep track/calculations (Time Clock Plus) to submit to the Payroll Department as needed. • Maintains accurate records of absences in the Personnel Department as reflected in the SmartFind Express System. • Assists with the Class Size Waiver data by gathering the information and distributing letters to the campuses. • Update and distribute Salary and Supplement Handbook to key personnel yearly. • Maintains current records of T-TESS Appraisers and distributes T-TESS Appraisal yearly calendar. • Orders supplies and equipment for the Personnel Department. • Reviews and enters data for department budget and capital outlay items. • Prepares ASBs for Personnel Department and processes necessary forms for travel as needed. • Prepares other forms such as Open Records Requests bills, requisitions for payment of invoices, payment authorization forms for mileage and supplies for Director of Personnel. • Maintains effective working relations with all district employees as well as with colleagues of the surrounding school districts. • Maintains the ability to speak to the general public in a pleasant, composed, and cordial manner. • Maintains adequate knowledge of federal requirements to ensure compliance with local, state, and federal regulations as they pertain to duties assigned. • Reviews incoming and outgoing correspondence, memoranda, reports and similar materials for the purpose of summarizing and/or referring to proper persons. • Prepares correspondence, memoranda, forms, requisitions, and other records. • Maintains records in an efficient manner. • Maintains TEA, Region I, and Department Head correspondence as needed. • Performs necessary bookkeeping functions. • Makes preparations for Retiree's banquet. • Makes preparations for New Teacher Orientation. • Prepares binders with Administrative resources for Principals/Department Heads for Principal's Academy. • Prepares school calendar for general distribution. • Maintains a cordial, neat and orderly office setting. • Maintains and files original committee meeting agendas and copies of board meeting agendas. • Assists the Personnel Management Systems Supervisor and the Assistant Superintendent for Curriculum and Instruction as needed. • Prepares forms and reports as requested. • Maintains confidential reports in proper files. • Updates Administrative Procedures notebook and keeps abreast of changes. • Performs all duties in a safe manner to avoid injury to oneself and/or to others. • Performs other related duties as assigned.
