Administrative Specialist III

The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy. Duties & Responsibilities: Maintain office files Maintain current and accurate department budget Inventory and order supplies Update and maintain departmental web page Input schedule data into Banner Create documents in Microsoft Word, Excel, and Publisher Type and proofread various documents using correct grammar and spelling Supervise work study students and manage the office Monitor computer and LCD systems in classrooms and offices Maintain change of grade log Prepare travel requests and reimbursement forms for faculty Assist faculty by making copies, recording messages, and providing general secretarial support Process departmental mail Departmental purchases and reconciliation Process and monitor requisitions Assist with outreach and recruitment Other duties as assigned Knowledge/Skills/Abilities: Knowledge of the principles and practices of mathematics and statistics Knowledge of research and analysis techniques and methods Knowledge of work-related subject area Knowledge of computers and software applications Ability to prepare, present, and review oral and written information and reports Ability to research and analyze related work program information Ability to develop, recommend, interpret, and apply policies and procedures Ability to analyze financial records and prepare reports Ability to plan, organize, and direct the work of others General Days/Hours: Monday - Friday 8:00 a.m. - 5:00 p.m. Additional hours as requested and/or needed Regular and reliable attendance Other: Please note: All position postings close at 12:00 A.M. CST on the position closing date. Applicants should be extremely well organized, detail oriented, and able to refocus quickly from multiple interruptions throughout the day. Must be able to demonstrate outstanding customer service. Applicants need to be a team player. Ability to utilize Microsoft Office, apply policies and procedures to assigned department duties, be able to provide technical assistance to faculty, staff, and students. Willingness to learn new skills, e.g. developing forms using Qualtrics.
