APMEX is seeking an Executive Assistant who will be responsible for providing all necessary administrative support for the Executive Team as requested.
A Day in the Life of an Executive Assistant at APMEX:
Maintains the Executives appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements. Supports Executives with tasks such as screening calls, managing calendars, meeting and event arrangements, preparing reports and financial data, and filing/data entry. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, transmitting text, data, and graphics. Conserves the Executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Represents the Executive with visitors and company leaders by attending meetings in the executive's absence, speaking for the executive. Research travel options, books, adjusts and maintains multiple travel schedules. Maintains confidence and protects operations by keeping information confidential. Processes expenses, ensuring timely payment and submission of required documentation. Schedules and facilitates meetings, presentations; maintains records, follows up on initiatives Makes arrangements for food service, conference room set-up, local travel, etc. as needed for meetings and visitors Assists with some personal tasks Other duties as assigned
Executive Assistant Qualifications
Professional demeanor with excellent communication, interpersonal skills, and ability to influence others without direct authority. Able to effectively negotiate through conflict to drive issues to resolution while always maintaining the relationship. Excellent skills in scheduling, work estimation and capacity planning, mitigating risk and managing a large pipeline of work items and projects Track record of exceptional cross-group partnering across a wide-array of stakeholders and partners plus ability to work independently. APMEX is a team-centric environment and cross group collaboration, and relationship building is a must. Working knowledge of travel booking systems Ability to work effectively with cross-function teams, multi-tasking in a fast-paced, team-oriented environment. Excellent organizational and problem-solving skills are essential. Must be proficient in MS Office Suite to include MS Word, Excel, PowerPoint, and other software programs. Strong verbal and written communication skills; good interpersonal skills and strong attention to detail. Must be extremely organized, detail-oriented and able to handle multiple tasks simultaneously. Must be available for extended hours if needed to support deadlines Ability to interact with all employee levels, including managers, directors and C-Level executives Ability to function effectively as a team member and the ability to communicate and handle sensitive information Flexibility to work in fluid environment with priorities that could change on a day-to-day basis Past experience in a fast-paced environment Past experience handling confidential information Ability to maintain high level of confidentiality

Education :
Bachelor's degree or equivalent experience in related field of Business
Experience
5 years of experience with C-Level Executives minimum Required
Computer Skills
Must be proficient in MS Office Suite to include, MS Word, Excel, PowerPoint, and other software programs.
