Administrative Support Specialist
Under direct supervision of Chief of Police, the Administrative Support Specialist is responsible for performing the administrative functions and activities associated with the Office of the Chief of Police. Major Duties Maintains the calendar for the Chief of Police, including the coordination and scheduling of all social activities. Receives, forwards, and otherwise manages all administrative telephone communications for the Office of the Chief of Police. Assists in handling Departmental Personnel files and coordinates activity with the City Human Resource/Finance Departments. Prepares and distributes internal and external administrative correspondence, including all correspondence for the Chief of Police. Prepares various departmental records to include meeting agendas, minutes, projects, and expenditures. Assists in preparing and completing departmental purchase orders, including receiving bids and coordinating large departmental purchases. Assists in managing the TCOLE files maintained by the department. Assists in maintaining the department website and social media. Attends meetings outside the department or regular working hours as directed by the Chief of Police. Experience and Skills Required Ability to read and comprehend simple to complex instructions, manuals, correspondence and memos, office communications, policies, and procedures. Ability to apply common sense understanding and good judgement in making decisions in emergencies and routine situations. Ability to interact effectively and professionally with the general public and staff utilizing effective oral and written communication skills. Strong computer knowledge sufficient to navigate software applications and databases. Effective problem-solving skills. Data entry and multi-tasking skills. Supervisory Controls The Administrative Support Specialist reports directly to the Chief of Police. The Chief assigns work in terms of department goals and objectives and reviews work through reports and observation of department activities. Supervisory and Management Responsibility This position has no subordinate supervisory or management responsibility. Minimum Qualifications Any combination equivalent to the education and experience likely to provide the required knowledge and abilities would be qualifying. A typical way to gain such knowledge and abilities would be: Possession of an Associate's Degree or 60 credit hours from an accredited college or university and experience as a Supervisor, Manager, Team Leader, or an equivalent position. Preferred Qualifications Possession of a Bachelor's Degree from an accredited college or university and two (2) or more years' experience as a Supervisor, Manager, Team Leader, or an equivalent position.
