We are seeking a dynamic and highly organized Office Manager to oversee the daily administrative operations of our firm's Boston office. This hands-on leader will work in the office five days a week and manage both in-person and remote administrative teams across multiple office locations. The ideal candidate is proactive, detail-oriented, and an excellent communicator, with the ability to maintain a positive and productive work environment. Location:
Boston, Massachusetts Key Responsibilities
Office & Administrative Oversight
Manage the operations of multiple New England offices, including in-person and remote administrative teams. Maintain smooth workflows and ensure high standards of administrative support office-wide.
Human Resources Management
Oversee HR functions including recruitment, onboarding, and performance management for administrative and paralegal staff. Conduct performance reviews and handle staff-related issues professionally and confidentially. Ensure compliance with firm policies and applicable employment laws. Coordinate with the firm's Human Resources Director and other administrative staff.
Staff Leadership & Development
Conduct monthly staff meetings to foster communication, alignment, and team engagement. Develop and deliver orientation programs and ongoing training to support staff growth and retention. Provide training related to file management and billing systems to improve efficiency and accuracy.
Team Coordination & Performance
Manage and strengthen working relationships between paralegals and administrative staff to maximize billing and productivity. Assist with hiring, staffing assignments, and ensuring appropriate administrative support for case and trial calendars.
Reporting & Communication
Report regularly to managing office attorneys regarding administrative team performance and operational updates. Assist in managing office case lists and ensure administrative readiness for trial schedules.
Problem-Solving & Interpersonal Support
Act as a key point of contact to resolve issues among attorneys, paralegals, and administrative staff. Utilize strong interpersonal skills to maintain a positive, collaborative work culture.
Qualifications
Prior experience managing administrative staff, ideally within a legal or professional services environment. Formal HR training or substantial HR experience gained on the job. Strong leadership, communication, and organizational skills. Proven ability to handle sensitive and confidential information with discretion. Experience with billing systems and file management software preferred. Ability to work on-site five days per week and travel between offices as needed. Why Join Us?
