The budgeted salary range that the University reasonably expects to pay for this position is $79,200 to $90,000 year. The full salary range for this position is $79,200 to $143,400/year.

Overview Anthropology is the study of humankind in the broadest sense. The department offers BA degrees with emphasis in archaeology, biological anthropology, sociocultural anthropology and a general anthropology degree covering all emphasis subfields. The role oversees departmental operations to support teaching and research missions.

Brief Summary of Job Duties Under the general direction of the Department Chair, the Administrative Officer 3 is responsible for the full range of management functions necessary for the conduct of the teaching and research missions of the Department. This includes advising and assisting the Chair in all aspects of departmental operations, ensuring continuity during personnel changes, and overseeing academic administration, technical support services, contract and grant administration, purchasing and financial management, staff and academic personnel programs, student affairs, facilities maintenance and renovation, safety programs, and long-term strategic planning. Responsible for ensuring that all department functions are carried out in accordance with university policies and procedures. Develops and implements operating policies and procedures related to departmental goals and objectives, and interprets policies for faculty and staff. Serves as Chair's liaison to other campus units and ensures compliance with campus, University, State, and Federal regulations."

Responsibilities and Job Functions (Percentages of Time)

25% Department Financial Management

– Budgeting and financial control, authorizing expenditures, managing accounting and financial systems, payroll, contracts and grants, and financial planning. Ensures audit readiness and develops long-range financial plans.

25% Personnel Management

– Supervision of academic and staff personnel activities, ensuring compliance with campus agreements and policies; staff training and orientation; grievance response; workload management.

15% Student Affairs and Curriculum

– Supervision of student admissions, advising, graduation processes, and curriculum planning to meet deadlines and policy requirements.

15% Long Range Administrative and Academic Planning

– Long-range planning for human and financial resources; space utilization analysis; reporting and policy advisory.

5% Health and Safety Manager

– Primary EH&S contact for labs and offices; training and record-keeping for safety programs.

10% Physical Plant and Support Systems

– Facilities planning, maintenance coordination, IT and equipment management, and liaison with Physical Facilities.

5% Campus and Systemwide Services

– Special assignments and service on campus/Systemwide committees.

Required Qualifications

4-6 years of financial work experience including budget management and fiscal responsibility.

Bachelor's Degree in related area or equivalent work experience and/or training.

Interpersonal skills including verbal and written communication, active listening, critical thinking, and advising skills.

Ability to use discretion and maintain confidentiality.

Strong written and oral communication skills.

Preferred Qualifications

Thorough knowledge of University rules and regulations for budget, accounting and fund management and/or personnel management.

Proficiency in campus software including Excel, Word, Google Suite, Timekeeping, Oracle Financial Cloud and FinHub.

Proficiency in analyzing policy and data to meet expectations as a staff leader.

4-6 years of higher education work experience, preferably at UCSB.

4-6 years of supervisory, student affairs, or personnel work experience.
