KEY DUTIES and RESPONSIBILITIES:
Front Desk Operations
Greet service vendors, agency personnel, clients, and visitors with professionalism and courtesy. Answer and route incoming phone calls using a switchboard system; take and relay messages as needed. Place outgoing calls and ensure proper phone etiquette is maintained at all times. Provide clear and concise communication to the public and office personnel. Administrative and Clerical Support
Perform light typing, faxing, copying, and filing duties, including Bates stamping of legal documents. Prepare and organize mass mailings, ensuring the accuracy of labels and address information. Generate written documents using advanced word processing tools from handwritten drafts or digital input. Office and Data Management
Make recurring and special messenger runs to distribute or pick up materials as required. Sort and file documents by alphabetical, numerical, or chronological order. Assist with basic data entry and serve as a back-up Time and Attendance (T&A) Clerk. Coordinate with transportation services as needed for office operations. EXPERIENCE and/or EDUCATION:
High school diploma or equivalent (required). Experience in an administrative or receptionist role preferred. Typing Speed: Minimum 40 WPM. KNOWLEDGE, SKILLS and ABILITIES:
Skilled in the use of standard office equipment, including switchboards, electronic typewriters, copiers, and personal computers. Familiarity with Microsoft Office applications and email systems. Ability to interact professionally with staff, the public, law enforcement officials, and external vendors. Demonstrated capability to complete assignments within strict timeframes in high-volume environments. Flexible and adaptive to sudden changes in scheduling or task assignments with minimal supervision.
