Primary Role: The Executive Assistant reports to the Chief Executive Officer (CEO) and works closely with all teams. The Executive Assistant works directly with the Senior Leadership Team to provide executive office management and site operations to advance Tulsa's long-term business strategy. This is a full-time, exempt position. This position will office in the Tedford Insurance office located in Jenks, Oklahoma.

Primary Qualifications:

Proactive and organize Confident in communication Calendaring experience, specifically in Office 365

Ability to collect, process and communicate information

Comfort in leveraging software tools for task and email management

Duties and Responsibilities: Plans and prepares for internal and external meeting needs hosted by the CEO and/or the Agency; reserve meeting rooms, arrange for appropriate Information Technology Services support, inform appropriate staff members of visitors in advance, arrange for meeting refreshments, welcome and escort visitors, ensure meeting rooms are left in exceptional condition. Manages production, collection, edition, and distribution of meeting materials. Oversee all logistical aspects of quarterly meetings/retreats, maintain accurate and complete files on meetings, committees, and members. Assists with special projects by conducting research, collecting, and analyzing data, drafting reports, and preparing presentations for internal and external stakeholders. Provides superior administrative support to the CEO. This includes, but is not limited to, efficiently maintaining calendars, scheduling meetings and conference calls, arranging travel, writing meeting minutes, reviewing mail, and assisting in the preparation of presentations and speaking points for the CEO on an array of topics for different constituencies. Performs other duties as required. These duties may include assignments in job classifications other than the primary assignment.
