Job Title: Office Services Associate - ImagingLocation: 300 South Tryon Street, Charlotte, NC 28202Schedule: Monday - Friday | 8:00 AM - 5:00 PMEmployment Type: Full-Time | Non-Exempt (Hourly)Pay Rate: $24.00/hourHours/Week: 40Position OverviewThe Office Services Associate - Imaging is responsible for providing professional and efficient mail, print, and imaging services within a fast-paced law firm environment. This role requires strong attention to detail, high customer service standards, and demonstrated experience with mailroom operations and reprographics in a legal or corporate office setting. The associate ensures all print and mail tasks are completed accurately, efficiently, and in accordance with client expectations.Key ResponsibilitiesMail & LogisticsSort and distribute incoming USPS mail, packages, and interoffice correspondenceTrack inbound and outbound deliveries and ensure timely distributionPrepare outbound shipments and manage carrier pickups (FedEx, UPS, etc.)Monitor and restock mailroom supplies inventoryPerform first-level triage and troubleshooting on convenience copiersReprographics & Imaging ServicesExecute print, copy, scan, and binding requests with precision and confidentialityFollow Total Quality Management (TQM) standards to ensure accuracy and on-time deliveryConduct quality control checks before delivering completed jobsPerform first-level printer maintenance and coordinate service calls for repairsAssist with imaging-related tasks such as scanning and file managementDaily Site OperationsAct as a liaison between client and Forrest Solutions to manage service requestsMaintain professional and organized workspace, including signage and communication boardsSupport workspace inspections and ensure all areas are client-ready at all timesClient Service & ExperienceDeliver prompt and courteous service to all employees and guestsAddress client concerns and follow up to ensure high satisfactionMaintain strict confidentiality in handling sensitive and legal documentsProcess ComplianceFollow established procedures for mail and print services, including postal regulationsAdhere to service level agreements and quality standardsSupport any special projects, requests, or overflow from other departments as neededQualifications and RequirementsHigh school diploma required; college degree preferredMinimum 2 years of experience in a mailroom and/or print services role in a legal or corporate office environmentProficiency in Microsoft Office Suite and imaging software/applicationsFamiliarity with postage meters, scanning tools, and multifunction printersStrong attention to detail and ability to multitask in a fast-paced environmentExcellent communication and interpersonal skillsAbility to maintain confidentiality and exercise discretionCompetenciesClient-first mentality and commitment to service excellenceHighly organized, detail-oriented, and dependableStrong time management and prioritization skillsAdaptable to changing priorities and capable of working independently or in a teamStrong decision-making and problem-solving abilitiesProfessional demeanor with corporate polishAll qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability status, or any other characteristic protected by law.Internal candidates only: The compensation outlined is applicable for candidates who fully meet the qualifications of the role based on their education and experience.
