$45,000.00/yr - $55,000.00/yr Key Responsibilities

Contract setup and documentation, including the creation of job records in Monday.com, project folders and detail sheets. Manage accounts receivable and billing processes, including cash application for deposits, overseeing collections and aging, and completing final billing with retainage. Handle accounts payable by coding, vouchering, and processing invoices; set up and manage vendor accounts. Track and reconcile employee expenses, support financial reporting, and ensure accurate revenue coding and account classification. Support payroll preparation and related recordkeeping. Assist with the management of Co-Op platforms as well as procurement and vendor profiles required across various states. Manage daily office operations, supplies, and vendor relationships. Coordinate internal communications and scheduling of meetings. Maintain filing systems, both digital and physical, ensuring confidentiality and accuracy. Serve as the primary point of contact for visitors, phone calls, and correspondence. Support HR-related administrative functions, such as onboarding paperwork and employee record maintenance. Qualifications

Associates degree in Accounting, Business Administration, or related field required; Bachelors degree preferred. 2+ years of experience in office administration and/or accounting support. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software (QuickBooks or similar preferred). Excellent written and verbal communication skills. Ability to handle confidential information with discretion. Strong problem-solving skills and ability to work independently. Essential Functions

Oversee contract and project setup processes Perform core accounting functions including billing, receivables, payables, reconciliations, and financial reporting. Support payroll processing, employee expense tracking, and maintenance of accurate financial and HR records. Coordinate internal communications, meeting schedules, and cross-departmental collaboration. Manage daily office operations, supplies, and vendor relationships while ensuring organized and confidential filing systems. Provide administrative and operational support to leadership as needed. Physical Demands

Ability to remain in a stationary position (sitting/standing) for extended periods. Frequent use of hands and fingers for computer entry, typing, and handling office documents. Occasional lifting and moving of office supplies and files up to 20 lbs. Ability to operate standard office equipment (computers, phone, copier, printer, scanner). Emotional Demands

Ability to handle sensitive and confidential information with professionalism. Ability to remain calm and professional in fast-paced or stressful situations. Strong interpersonal skills to work effectively with staff, vendors, and leadership. Mental Demands

Problem-solving ability and sound judgment when handling administrative and financial matters. Compensation & Pay Transparency

This is a full-time, exempt position based in Columbia, IL. The salary range for this position is $40,000 $45,000 annually, commensurate with experience and qualifications. In compliance with Illinois pay transparency requirements, this range reflects the companys good-faith estimate of compensation at the time of posting. This position operates in a professional office environment or approved remote setting. Standard office equipment such as computers, phones, photocopiers, and filing cabinets may be used.
