The Executive Assistant supports the Chief Operating Officer (COO) of the Division of Motor Vehicles by managing a wide range of administrative and communication tasks. This role involves frequent interaction with the public through phone, email, mail, and in-person inquiries related to DMV services.
Key responsibilities include: Overseeing DMV customer service administration to ensure efficient and effective support. Managing and coordinating all communications on behalf of the COO. Organizing the COO's office operations and providing general administrative support. Scheduling meetings and managing contacts, including requesting information for the COO and DMV customers. Drafting letters, memos, and developing tracking tools for the DMV Commissioners Office and the COO. Creating and maintaining confidential filing systems, which may contain sensitive materials such as memos, meeting notes, agendas, and investigative reports. Assisting with confidential personnel matters, processing travel reimbursements, and handling daily office requirements. This position reports directly to the Chief Operating Officer of the Division of Motor Vehicles.
Knowledge, Skills and Abilities / Competencies
Management prefers applicants that demonstrates the following:
Knowledge of the principles and practices of business administration as applied to government programs. Knowledge of office procedures, practices and equipment. Demonstrated ability to initiate and implement administrative programs and procedures, and to evaluate their effectiveness. Experience exercising judgement and discretion in establishing, applying and interpreting a wide range of administrative policies and procedures. Experience establishing and maintaining effective working relationships with agency personnel, officials, and the public.

Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution; or
Associate's degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or
High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.
