Position Summary:
The Remote Administrative Assistant will provide administrative and clerical support to ensure smooth business operations. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively while working independently in a remote environment.
Key Responsibilities:
Manage emails, phone calls, and online inquiries, directing them to the appropriate departments.
Schedule and confirm customer appointments and service calls.
Maintain and update digital records, files, and databases.
Assist with preparing invoices, processing payments, and tracking billing information.
Prepare reports, spreadsheets, and simple correspondence as needed.
Coordinate with field technicians to ensure schedules and work orders are accurate.
Perform general administrative support tasks such as data entry, filing, and document preparation.
Provide excellent customer service by responding promptly and professionally to client inquiries.
Qualifications:
Proven experience as an administrative assistant, office clerk, or similar role.
Strong organizational and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace tools.
Comfortable using scheduling software, databases, or CRM systems.
Ability to work independently and manage time effectively in a remote environment.
High school diploma or equivalent; associate’s or bachelor’s degree a plus.
Preferred Skills:
Experience in service-based industries (pool care, home services, or maintenance) is a plus.
Knowledge of invoicing or bookkeeping basics.
Strong problem-solving abilities and attention to detail.
