Admin Assistant/Program Coordinator

Location: Duarte, CA

Hourly Pay: $19/hr

Schedule: 8am-5pm

The Admin Assistant is primarily responsible for coordinating multiple services within the Lab Outreach Program. This role involves maintaining strong working relationships with clients, staff, patients, physicians, and vendors to support continued program growth. The Coordinator ensures efficient and accurate processing of specimens and paperwork, while adhering to departmental procedures and confidentiality requirements.

Key Responsibilities:

  • Serve as a liaison and client service representative for Outreach (non-patients) and the 30+ Community Clinics, handling specimen collection, logistics, supplies, pricing, report status, and processing.
  • Maintain confidentiality of specimens and paperwork received.
  • Enhance customer relations by following up on sample requests, documenting appropriately in the database, conducting on-site visits, and promoting test offerings.
  • Handle laboratory orders and ensure accurate billing information for testing.
  • Process material requests from outside facilities for secondary diagnosis confirmation.
  • Review and maintain all Outreach work queues on a daily basis.
  • Initiate billing processes, generate invoices for Lab Outreach clients, and follow up on payment status.
  • Partner with Patient Financial Services (PFS) and the Medical Foundation Authorizations department to resolve billing issues and verify authorization approvals for testing.

Minimum Qualifications:

  • 2+ years of experience in administrative services, preferably within a healthcare setting.
  • Experience with patient billing and third-party/government program billing preferred.
  • Excellent track record in attendance and reliability.
  • Ability to learn quickly, work independently, and manage responsibilities with minimal supervision.
  • Must have no issues with personal phone usage or texting during work hours.

Additional Information:

  • This is a temp position with the potential for extension or conversion, based on performance.
