Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will support our daily office operations, assist our financial advisors, and provide exceptional service to our clients. This role requires excellent communication, multitasking skills, and the ability to work in a dynamic environment.
Key Responsibilities:
• Director of first impressions. Serve as the front desk attendant, offering a warm welcome to all visitors.
• Manage the calendar and scheduling for financial advisors, prioritizing specific time slots and adhering to client requests.
• Answer telephone calls, directing them to the appropriate team member efficiently.
• Greet clients upon arrival, providing preferred beverages and ensuring a comfortable wait.
• Oversee the management and stocking of supplies for the office, copy room, and kitchen, including initiating orders with prior approval for large purchases.
• Liaise with building management for service requests and maintenance issues.
• Provide technical support for office software.
• Perform data entry tasks in CRM, such as updating client information and entering new client data.
• Coordinate lunch orders and handle pick-up arrangements.
• Manage sensitive document shredding and FedEx mailings as required.
• Assist with travel arrangements, specifically booking hotels and flights when appropriate.
• Regularly check and sort the USPS mailbox contents.
• Maintain office equipment, including copier and scanner.
• Order business cards and handle reservations and event bookings.
• Distribute incoming faxes and save documents to client files.
• Process QuickBooks invoices for billing purposes.
• Organize office celebrations and manage decoration arrangements.
• Handle the preparation of Christmas card labels and mobile check deposits.
• Monitor postal address maintenance alerts.
• Act as a backup to the operations team as needed (e.g. electronic paperwork preparation, mobile check deposits, etc.).
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred.
- Previous experience in an administrative role, preferably within a financial services or planning firm.
- Proficiency in Microsoft Office Suite and experience with financial management software (e.g., QuickBooks, Fidelity, Schwab).
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
