Job Description

As a Firmwide HR Assistant, you will play a vital role in supporting the human resources team's daily operations across all office locations. This position offers an excellent opportunity to gain comprehensive exposure to HR functions within a professional services environment while contributing to the firm's talent management initiatives. You'll work closely with HR professionals to ensure smooth administrative processes, maintain accurate employee records, and provide essential support during critical HR activities.

The ideal candidate is detail-oriented, professionally mature, and excited about building a career in human resources. This role provides valuable experience in HR operations while offering the flexibility of a hybrid work arrangement that balances collaboration with remote productivity.

Duties and Responsibilities

  • Prepare and maintain HR reports using Excel and other data management tools
  • Scan, file, and organize HR documents and employee records with accuracy and confidentiality
  • Coordinate calendars and schedule meetings for HR team members and stakeholders
  • Provide administrative support for recruitment, onboarding, and employee lifecycle processes
  • Assist with new hire orientation and documentation processes
  • Support HR team with special projects and ad-hoc requests
  • Maintain database integrity and ensure proper filing systems are followed
  • Communicate professionally with employees regarding HR administrative matters

Required Experience/Skills

  • Experience: 2-3 years of professional administrative experience
  • Industry Preference: Law firm experience strongly preferred but not mandatory
  • HR Background: Previous HR experience preferred
  • Technical Skills: Advanced proficiency in Microsoft Excel and Office Suite
  • Professional Skills: Strong organizational abilities and attention to detail
  • Communication: Excellent written and verbal communication skills
  • Soft Skills: Professional
