As the key employee liaison between the client and KWPM services & internal support staff, the Administrative Assistant must project a professional and competent image: providing friendly service, maintaining timeliness, and presenting a professional appearance. The role is vital to the administrative and operational functions of the company/property, requiring organizational skills, attention to detail, good time management, and interpersonal skills.
Duties and Essential Functions

- Assist in daily management office operations following company procedures.
- Perform administrative tasks such as record keeping, filing, mail handling, word processing, data entry, and maintaining office supplies.
- Update and coordinate account information in the database.
- Research owner discrepancies regarding payments.
- Track important dates and meetings, including turnover, annual, and budget meetings.
- Answer telephones courteously and handle messages promptly.
- Respond to emails within 24 hours.
- Pick up all mail daily.
- Manage architectural approvals, maintenance requests, sale/lease info, and other property-specific forms.
- Coordinate conference room events.
- Handle special projects as instructed.
Work Environment
This position is based indoors in an office setting.
Physical Demands
Employees may need to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items up to 20 pounds. Manual dexterity, auditory and visual skills, and following written and oral instructions are required.
Position Details
This is a full-time, non-exempt position. Working hours will be determined based on business needs and may change.
Required Education and Experience
- At least 1 year of related experience.
- Proficiency with MS Office Suite.
- Ability to multi-task and prioritize.
- Bilingual in English and Spanish is a plus.
- Excellent communication and listening skills.
- Keyboarding accuracy of 45-50 WPM.
- Ability to work in a team environment.
